Job Description
**Position Title:**Assistant Site Manager
**Department:**Security Operations
Report to Security Site Manager
**Manage:**Site Supervisors, Lead Hands, Site Service Team
Portfolio Focus:
- Supervising Daily Operations
- Ensuring Health and Safety
- Meeting/Exceeding Quality and Service Standards
- Client Relationship Management
The Assistant Site Manager position, which reports to the Security Site Manager, is important in ensuring that the site is performing at a high level of Customer Service and following the site’s contractual requirements. This position requires a high level of professionalism and the ability to act quickly during various incidents that happen on-site.
**Key Responsibilities:**Operational Management (25% Time Spent):
- Ensure all staff assigned on site follow Guardteck’s standards, rules, and policies.
- Daily review of all Incident Reports, and the Daily Dispatch Log to ensure all pertinent information is captured and ensure proper Grammar is used
- Email containing the Daily Dispatch Log and any Incident Reports to be sent out daily as per Guardteck SOP
- Conduct a review of the weekly schedule within Tracktik on Mondays at 1200hrs (noon) to ensure the weekly schedule for the previous week has been completely entered
- Review of the pay period being locked down by 1200hrs (noon) on lockdown days to ensure that the schedule that will be locked down is fully entered and all rates are entered properly.
- Assisting with ensuring that the Monthly Scorecard is updated to provide the Account Management Team with an Operational Update on the site’s performance
- Ensure KPIs are being followed and any exceptions should be reported to the Account Management Team, such as:
- Any missed shifts (ran open more than 2hrs)
- Sick Days
- Turnover Numbers (Resignations and Terminations)
- Kandor Academy Course Completion (How many staff completed all courses vs. How many staff still have one or more courses left to complete)
- Respond to any after-hours emergencies to support Site Staff as well as ensure information is being disseminated to the proper channels based on the incident that is occurring
- Collaborating with external stakeholders, such as emergency services, and other service providers rendering services to the site
- Conduct a thorough investigation for any major incidents and/or any complaints lodged against the Security Team or the Property.
- Ensure reports are generated in a timely manner and all information that is required is entered into the report.
- Supervise all daily operations and monitor site performance
- Ensure the service team meets quality standards based on the scope of work using provided Q/A applications, and regular walkthroughs
- Maintain adequate staffing levels
- Train team members according to standard operating procedures
- Perform supply orders and submit equipment repair/maintenance requests as required
- Attend site-related operations, client, or company meetings.
Team Leadership and Mentoring (50%):
- Developing and implementing robust security strategies and policies to protect the company’s assets, employees, and facilities
- Conduct bi-yearly and yearly Employee Performance Reviews on all staff assigned on site
- Conduct a meeting with the entire Security Team at least once per quarter and have the meeting minutes tabulated and sent to the Guardteck Operations Team
- Conduct a Team Building Exercise or Event at least once per quarter with the entire Security Team
- Creation of Site Training Checklists for each position that is required on-site
- Review and audit of the training checklists to be completed at least twice a year to ensure all training requirements are accurate and make any edits due to duties no longer being required or new duties being added upon approval of the client
- Ensure all Training Checklists are completed by staff working on-site and are being scanned/saved within the site’s Sharepoint
- Conduct random after-hours visits to the site to ensure that all staff are being proactive and are completing their assigned duties
- Coordination of external training sessions from approved suppliers
- Customer Service
- Defensive Edge Tactics
- Situational Awareness for Security and De-Escalation
Client Interaction (25%):
- Conduct random security threat assessments of the property and liaise with the Guardteck Account Manager, and the Site’s Management Team to assist with possible ways to increase the level of Security and the efficiency of the Security Program.
- Maintaining and updating emergency response plans, ensuring all employees know their roles and responsibilities as well as relaying information requiring updating to the Client to ensure the Response Plans are updated throughout the property
- Conduct a meeting with the Site Management at least twice per month and ensure that the meeting minutes are tabulated and sent to the Guardteck Operations Team
- Checking in with the Site Management Team at least once per day and conduct random site walkthroughs with the Management Team
- Responding and actioning on any Client requests made via email or telephone in a timely and efficient manner
- Liaise with and support the Site Manager with Property Management and key stakeholders on operation requirements, changes, and updates.
- Ensure the site schedule is completed and communicated to the client and team
- Maintain high-quality client relationships through regular communication and visits.
Health and Safety Compliance (10% Time Spent)
- Ensure the team completes regulatory training such as WHMIS, Bloodborne Pathogens, etc.
- Ensure full compliance with WCB regulations related to health and safety
- Perform site supply audits and verify the correct delivery of all site supplies. Ensure correct storage and labelling of all products.
Strategic Planning and Reporting (5% Time Spent)
- Check the monthly service hours balance and develop a staffing plan accordingly with guidance from the Site Manager
- Note and complete additional work requests outside the scope of work through work ticketing system
- Provide reports on site performance and make recommendations for improvement
Ad Hoc Responsibilities:
- Perform other duties as assigned by the Operations Manager, Site Manager, Account Manager, Key Stakeholders, or Senior Leadership Team.
Knowledge, Skills, Experience and Education: Qualifications:
- Hard Skills:
- Proficiency in Microsoft applications and technical aptitude.
- Strong organizational and time management skills.
- Knowledge of security operations.
- Soft Skills:
- Excellent customer service and communication skills.
- Ability to remain calm and make decisions in emergencies.
- Strong attention to detail and ability to follow instructions.
- Positive attitude, self-motivated, and able to work in a fast-paced environment.
Knowledge, Skills, and Abilities:
- Minimum of 3 years of experience in a leadership capacity within the security industry.
- Experience with integrated security systems (CCTV, Access, Intrusion).
- Advanced computer skills (Excel, Word, Outlook)
- Ability to work independently and as a team player.
- Outstanding problem-solving skills, attention to detail, and awareness of Guardteck’ business environment and relationships.
- Ability to always maintain confidentiality and discretion.
- Minimum OFA 2 Certification or willingness to attain the certification
- AST Certification or the willingness to attain the certification
- Willingness to attain and maintain an ASIS Membership in good standing
- Willingness to attain and maintain the following certification:
- CPTED Certificate (ASIS)
- Security Risk Assessment Certificate (ASIS)
- Certified in Security Supervision and Management (CSSM) (IFPO)
- Retail Asset Protection Certificate (ASIS)
- Workplace Violence Prevention Certificate (ASIS)
- Physical Security Professional (PSP) (ASIS)
- Introduction to Emergency Management in Canada (EMRG-1100 at JIBC)
- Hazard, Risk, and Vulnerability Analyses (HRVA) (EMRG-1121 at JIBC)
- Proven experience managing janitorial or custodial teams in a commercial or industry setting.
- In-depth knowledge of health and safety regulations
- Strong leadership skills with the ability to manage, motivate, and develop a diverse team of service staff
- Strong ability to oversee daily operations, ensuring quality and efficiency of service deliverables
- Exceptional problem-solving abilities with proactive approach to addressing and resolving operational issues
- Ability to prioritize tasks and manage time effectively, especially in a fast-paced environment
- Experience in managing supplies and inventory, including ordering, auditing, and maintaining equipment
