Safety and Compliance Specialist (Carrier Vetting)

Role Summary
The Safety and Compliance Specialist is responsible for safeguarding our supply chain by executing company-wide vendor approval and monitoring processes. Acting as the primary gatekeeper, this role ensures all partner carriers meet our strict corporate Standard Operating Procedures (SOPs), Department of Transportation (DOT) safety regulations, and insurance requirements before hauling a single load.
The ideal candidate has sharp attention to detail, a strong understanding of freight compliance, and thrives in a fast-paced 3PL environment utilizing industry-standard vetting software.
Key Responsibilities
Carrier Vetting & Company-Wide Vendor Approval (Main Priority)
Manage the end-to-end company-wide approval process for all new and existing transportation vendors. Rigidly vet carriers utilizing RMIS and Carrier411 to analyze safety ratings, authority history, fraud indicators, and behavioral data. Monitor daily automated emails and alerts from RMIS regarding carrier safety rating drops, authority revocations, or insurance cancellations. Review, verify, and track carrier insurance certifications and fraud-prevention documents within RMIS.
Systems Integration & Data Integrity (Tailwind, Nuage, RMIS)
Cross-reference new vendors in Tailwind (TW) to ensure seamless data throughput and operational readiness. Proactively identify and resolve discrepancies where vendors exist in RMIS but are missing or incomplete in Tailwind. Serve as the primary operational liaison between RMIS and Nuage to maintain clean system communication. Downtime Project: Continuously audit and clean up existing Vendor Profiles in Tailwind to ensure up-to-date documentation and active/inactive accuracy. Collaboration & Communication
Provide coordinated coverage alongside their partner to ensure the compliance desk is fully staffed from 7:30 AM to 8:30 PM. Escalate complex compliance scenarios, high-risk carrier profiles, or onboarding bottlenecks to management Act as the internal point of contact for freight brokers and account managers regarding carrier onboarding status. Qualifications & Experience
Experience: 1–3 years of experience in 3PL safety, carrier compliance, or logistics operations preferred. Software Proficiency: Direct, hands-on experience with RMIS and Carrier411 is highly preferred. Familiarity with Tailwind (TW) or similar TMS platforms is a plus. Regulatory Knowledge: Solid understanding of FMCSA regulations, DOT safety ratings, and standard cargo/liability insurance requirements. Skills: Exceptional attention to detail, sharp investigative/fraud-detection skills, and the ability to strictly enforce company SOPs without cutting corners. Communication: Strong written and verbal communication skills; comfortable delivering firm "approved/denied" compliance decisions to internal teams and external carriers.
Shift/Schedule:
Two shifts available for full-day coverage:
Shift A: 7:30 AM – 4:00 PM Shift B: 12:00 PM – 8:30 PM
