Job Description The Equipment Warehouse Coordinator is responsible for organizing and monitoring the movement of equipment inventory across multiple warehouse and storage locations, including both company-operated and third-party facilities.
- This role ensures all inbound and outbound activities are properly scheduled, communicated, and documented, supporting smooth operations, timely deliveries, and full visibility of inventory across all locations.
Coordination And Communication
- Serve as the primary point of contact for all warehouse and logistics coordination.
- Communicate daily with internal warehouse staff and external logistics partners to arrange inbound and outbound shipments.
- Schedule and confirm pickups and deliveries with freight carriers and internal drivers.
- Coordinate with the installation team to arrange equipment pickups and deliveries for customer installations.
- Maintain ongoing communication with the CSR team and management regarding shipment progress, delays, and special requirements.
- Respond promptly to internal inquiries related to shipments, inventory, and warehouse activities.
Receiving and Shipping Oversight
- Verify that all incoming shipments match packing lists and documentation, including quantities, serial numbers, and item details.
- Ensure outbound shipments are checked against invoices and all related documents are accurate and complete.
- Collaborate with warehouse clerks to plan and prioritize daily shipping and receiving tasks.
- Review and maintain proper shipping, receiving, and transfer documentation for traceability and accuracy.
- Communicate with all storage and logistics partners to ensure goods are handled and shipped in accordance with company standards.
- Ensure orders are accurately staged and ready for pickup.
Inventory Tracking and Reporting
- Maintain an up-to-date record of inventory held across all storage locations.
- Generate and distribute regular inventory visibility reports to management and other stakeholders.
- Monitor discrepancies or variances between systems and physical counts, and follow up on resolutions.
- Support cycle counts, inventory audits, and reconciliation processes.
Operational Support
- Provide on-site support for shipping and receiving activities as required, including forklift operation when necessary.
- Assist with warehouse organization, labeling, and staging to ensure efficient workflow.
- Assign and monitor tasks for temporary or seasonal warehouse staff when applicable.
- Collaborate with the Equipment Operations Supervisor to identify opportunities to improve warehouse coordination, documentation, and visibility processes.
Other Duties
- Follow company safety procedures and Health Canada regulations related to medical devices and equipment handling.
- Maintain clean and safe working conditions in all warehouse areas.
- Participate in safety meetings and mandatory training sessions.
Qualification & Skill Requirements Education and experience
- 3–5 years of experience in warehouse operations, logistics, or inventory coordination.
- Experience coordinating activities across multiple locations is preferred.
- High school diploma required; post-secondary education in supply chain or logistics is an asset.
- Forklift certification is preferred
Key competencies
- Ability to lift up to 50 lbs and move products up to 80 lbs.
- Excellent coordination and communication skills (written and verbal).
- Proficiency in Microsoft Excel, Outlook, and warehouse/inventory management systems (MXP, SAP, or equivalent
- Valid forklift operator certification and Class 5 driver’s license.
- Strong organizational skills.
- Ability to work independently and unsupervised.
- Experience coordinating with carriers and preparing shipping documents.
The Anticipated Salary Range For This Position $23.00 - $32.25 Hourly
