About the role

The Administrative Assistant is an integral part of the efficient day-to-day operations of the organization.

R.W. Gibson Consulting Services Ltd., a division of The Gear Centre Group, has an immediate opening in our Properties and Facilities Maintenance Department located in our West Edmonton office.

Key Responsibilities:

  • Accounts payable processes including preparing and coding vendor invoices, company credit card reports and downloading vendor invoices
  • Accounts receivable processes including posting incoming rent, preparing deposits, generating reports and monthly billings
  • Provide updates and reports on a regular basis to Property Manager regarding renters, contractors, and property/building information
  • Assist Property Manager with janitorial/office supplies, furniture and houseware purchases as required
  • Generate work orders, reports and coordinate preventative maintenance for various commercial and residential properties
  • Provide administrative support for special projects as needed such as real estate market research, or contractor and services provider research
  • Assist with scheduling corporate travel and accommodations

Experience:

  • The ideal candidate must have a minimum of 5 years of experience in a fast-paced administrative role in property management for both commercial and residential properties
  • Post-secondary education in Business Administration, Real Estate, or Property Management would be considered an asset
  • Advanced level in Microsoft Office programs including Excel, Word, and Outlook
  • Experience using Spectra, SXE and Simply Accounting software would be considered an asset

Skills and Abilities:

  • Excellent written and oral communication skills
  • Strong organizational and prioritization skills with a high degree of accuracy
  • High level of integrity, confidentiality and professionalism are of utmost importance
  • Demonstrated ability to manage multiple tasks with simultaneous deadlines and timelines with minimal direction and/or supervision

Other Requirements:

  • Local and short-term travel will be required to our out-of-town locations
  • Must have a valid driver’s licence with acceptable abstract
