Position Summary
Directly reporting to the Manager of the Progress Child Care Centre with a dotted line reporting relationship to the Manager of the East York Child Care Centre (including school-age and kindergarten programs at Diefenbaker Public School), the incumbent provides support to all administrative, operational and financial aspects of the two Child Care Centres (located at Progress Campus and 550 Mortimer Ave), ensuring the Centres are running smoothly and children are receiving exceptional care.

Please Note: The incumbent will work at both the Progress and East York Child Care Centres.

Responsibilities

  • Responds to inquiries about the Centres, in-person, phone and email inquiries
  • Organizing supply staff and staff coverage as per the Managers direction; communicating schedules with staff, ensuring a coordinated system is in place for scheduling
  • Tracks Child Care Centre staff attendance, and runs attendance reports for Managers
  • Preparing and processing contracts including conducting salary calculations for new staff.
  • Prepares new employee orientation packages and the provision of training and orientation for new staff on office policies and safety procedures.
  • Responsible for administration of fees, following up with parents on fee payment ensuring fees are paid on time
  • Tracking and inputting children’s attendance into the City of Toronto online system
  • Prepares service contracts for external vendors, ensuring business activities and procedures comply with government legislation
  • Track purchasing orders, including coding and processing VISA statements
  • Liaises with the SCHS Financial Department on budget planning and completing financial reports
  • Tracking data, including Ministry inspection items, and running reports to ensure compliance to legislation
  • Prepares letters, memos, reports, and spreadsheets alongside performing data entry and file maintenance
  • Participate in note taking and developing agendas for staff meetings to record key points and transcribe notes; producing minutes of meetings
  • Coordinates and maintains an electronic correspondence system for all incoming/outgoing email, reports etc.
  • Ensure children’s files are complete and up-to-date, meeting legislation requirements
  • Maintaining staff files and tracking all requirements for licensing
  • Liaising with funding partners, including City of Toronto and Ministry of Education to ensure compliance is met and partnerships are strong
  • Manages the waiting lists and communicates to parents waiting for space, and informing parents about the process
  • Maintains the Child Care Centres website, liaises with Marketing to make changes to the website
  • Communicates to parents on behalf of the Centre – develops and distributes communications through vehicles such as e-newsletter or social media
  • Coordinate, book and complete tours of the Centers for students, parents and other stakeholders
  • Provides back-up support on the floor of the Child Care Centre or at other departments within the School of Community and Health Studies, as needed
  • Ordering supplies as needed, ensuring supply inventory is adequate
  • Assist staff with documentation of children, completing word processing of observations, documentation and projects if needed
  • Participates in the planning and execution of Child Care Centre activities and events

Qualifications/Experience

  • Two-year (2) College diploma with preference for an Early Childhood Education diploma. Equivalent combination of relevant practical work experience and/or other qualifications and education will be considered

  • Minimum 3 years related, administrative support experience, preferably in a Child Care setting.

  • Must be registered with the College of ECEs

  • Experience supporting accounting activities & processes with demonstrated knowledge of generally accepted accounting and budgeting principles

  • Intermediate level proficiency with MS Word and Excel

  • Ability to set priorities and work well under pressure with highly developed organizational skills, analytical and problem-solving skills

  • Ability to work with others on budget and financial matters in a collaborative and efficient manner

  • Ability to collect, analyze, and distribute statistical data

  • Excellent customer service experience and highly effective written and oral communication skills

  • Must have a clear police check and immunization record

  • Must have a First Aid certificate
