Reports to: Lead, PMO Operations and GTS Portfolio Manager

The Global Technology Services (GTS) Office enables and supports the successful delivery of business value by providing the following Services:

  • Delivery Governance Services
  • Delivery Execution Services
  • GTS Office Services

The Senior Process Analyst is responsible for governance and support of the delivery processes. This includes acting as primary liaison for support, providing subject matter expertise and championing continuous improvement of delivery processes and tools

This role is hybrid (2 - 3 days/week in the office) - based in Toronto, ON

Key Accountabilities:

  • Lead processes related to delivery governance including but not limited to quarterly portfolio reviews and planning, bi weekly checks on project compliance to standards, quality checks quarterly and upon project closure, capacity planning, tracking GTS compliance against regulatory, policy, legal and audit requirements; board commitments and department objectives
  • Provide support and guidance to delivery teams and various stakeholders on TMX standard Delivery Methodologies, processes and tools
  • Define and ensure GTS Office service levels are met (i.e. timely response to requests and inquiries sent to the group mailbox)
  • Support and continuously improve processes in collaboration with practice owners and maintain the related documentation and templates (e.g. process documentation, end user guides, training materials)
  • Provide SME (Subject Matter Expertise) and support of PPM (Project Portfolio Management), reporting and time tracking functionality in Workday
  • Act as liaison between auditors and GTS teams to address questions and requests for information during the annual audit
  • Collect actuals and forecast spend on in-flight initiatives as part of the annual planning and forecasting process led by Finance
  • Identify opportunities for expanding GTS Office services throughout the enterprise
  • Periodically reviews existing delivery processes, gets feedback from stakeholders and presents recommendations for improvements in efficiency, effectiveness, quality and adoption
  • Develop and execute change management and communications plans to implement new and changing processes and tools
  • Periodically review initiatives to verify adherence to established processes and identify exceptions for the teams to address
  • When required, lead the development of internal processes to support the operations of the GTS Office
  • Upon request, train resources on Workday PPM, time tracking and pertinent delivery processes
  • Act as a backup to other team members and team lead as delegated

Must Have(s):

  • University/undergraduate degree in related discipline or equivalent Analyst experience within a Project Management Office in the financial services industry
  • Minimum 5 years’ experience within an Information Technology environment
  • Demonstrated ability to balance competing or conflicting goals
  • Strong influencing, facilitation and negotiation skills
  • Strong problem solving and analytical skills to rapidly assess situations and develop alternate solutions approaches necessary to resolve high-level, complex problems
  • Ability to work independently on assignments, with tight deadlines under minimal supervision
  • Strong organizational skills
  • Excellent oral and written communication skills
  • Working knowledge of delivery methodologies including SDLC, Iterative, Agile and Hybrid
  • Strong attention to detail
  • Experience using a scripting language (e.g. Google scripts)
  • Experience developing reports and using data visualization tools such as Google Data Studio

Nice to Have(s):

  • CAPM or PMP certification or equivalent
  • Experience administrating Workday or an equivalent PPM tool
