About the role

Reporting to the Manager, Project Management Office (PMO), the Resource Coordinator serves as the operational hub for all resource planning activities within the In-Service Support business unit. This role manages the Team Work Book as the authoritative source for staffing, availability, and allocation data, coordinates resourcing intake from Program Managers, and supports cross-team allocation needs.

The Resource Coordinator also works closely with the People & Performance Manager and the Contracts Manager to support hiring and subcontracting pathways. In addition, this role consolidates former Project Management Administrator functions to create a single, reliable point of control for resourcing data and PMO/Projects administrative support—enabling the PMO Manager to focus on strategic oversight and leadership.

  • Manage core resourcing data by owning and maintaining the Team Work Book, updating staffing lists (including subcontractors), conducting weekly data quality checks, and ensuring all resourcing information is accurate and audit‑ready.

  • Coordinate resourcing requests by receiving and validating submissions from Program Managers, ensuring compliance with the Resourcing SOP, and supporting cross‑team allocations as needed.

  • Support PMO planning and reporting, including generating weekly demand vs. capacity summaries, preparing forecast impact reports, running the weekly Late & Due report, and maintaining historical TPM metrics and related data.

  • Assist with staffing pathways by preparing administrative inputs for hiring or subcontracting options and liaising with the People & Performance Manager and Contracts Manager throughout recruitment or subcontracting processes.

  • Provide project administration support by helping Project Managers with rescheduling forms, DND submissions, EPOCH updates, monthly log numbers, and internal Trello coordination.

  • Identify and recommend process improvements within resource planning and PMO workflows.

Education

  • Diploma or bachelor's degree in business, project management, technology, engineering, or a related discipline.

Experience

  • 0–5+ years of experience in resource coordination, project coordination, or related roles.

  • Strong attention to detail, organizational skills, and comfort handling high volumes of data.

  • Ability to work collaboratively with cross-functional teams in a dynamic environment.

  • Proficiency with Excel and project management tools (Trello experience an asset).

  • CAPM or PMP certification (considered an asset but not required).
