About the Program:
Employment program supports persons with self-identified disabilities who are experiencing barriers to employment. The objective of the program is to prepare participants to acquire new skills and enhance existing skills, so they find long term success in finding and keeping good jobs and contributing to healthy, inclusive society. Participants receive the skills and support to help in preparing for, finding, and keep good jobs or becoming self-employed, or advancing in their careers, or taking on new or greater responsibilities.
Position Summary:
The Position reports to Manager, Employment Programs
The Program Data & Case Management Specialist is responsible for managing client records, tracking program engagement, and analyzing data to support effective service delivery. The specialist provides comprehensive tracking of all clients throughout their job search journey, including career coaching, workshop participation, and collaboration with community partners to support employment outcomes. In addition to maintaining accurate documentation, the specialist compiles reports and analyzes program data to identify trends, measure outcomes, and recommend improvements.
This role also includes working directly with clients as a Job Coach, providing one-on-one support to help them identify employment goals, navigate job search activities, and access career development resources.
Strong communication and relationship-building skills are essential, along with experience working with vulnerable populations to promote successful employment transitions and ensure compliance with accreditation and privacy standards. This is an in-person role with no opportunity to work remotely.
What You'll Be Doing:
Program Analysis and Reporting (50%)
- Maintain client files and records in accordance with accreditation standards and funding compliance requirements.
- Ensure all client assessments are completed and stored securely to support individualized employment planning.
- Track clients progress through career coaching, workshop attendance, and job placement activities.
- Prepare reports and compile program statistics, including tracking and forecasting financial obligations.
- Collect and analyze data related to program outcomes, including demographics, employment rates, and retention statistics.
- Collaborate with the employment team to develop strategies that enhance program outcomes.
- Maintain effective databases and systems for tracking metrics and client engagement.
- Participate in meetings and workshops focused on program performance and continuous improvement.
- Adhere to organizational policies and procedures; assist with quality assurance processes.
Job Coach (40%)
- Conduct intake assessments to identify barriers and employment goals for clients.
- Provide training and support to enhance our clients’ job readiness, resume writing, interview preparation and skill development.
- Develop and identify employment opportunities suitable for participants
- Provide intensive support during participants' work experiences to ensure success.
- Follow up with participants at 30, 60, and 90 days post-work experience to monitor progress.
- Document participant progress and employment status in the client management system.
- Facilitate transportation for participants during their initial employment phase.
- Purchase industry-specific safety equipment for participants when required.
- Collaborate with participants to develop and revise their next step plans as necessary.
- Assist with participant touchback sessions based on individual needs.
Employer & Facilitator Coordination (10%)
- Build relationships with community organizations and employers to support client job placements and promote successful employment outcomes.
- Coordinate facilitator schedules and monitor their adherence to program guidelines and requirements.
Perform other duties and projects as required and not limited to the responsibilities as mentioned.

What We’re Looking For:
Qualifications:
- Diploma in Human Services or a related field, or equivalent combination of education and experience.
- Proficient in data collection, analysis, and reporting using tools such as Excel and Power BI. Able to interpret program data, identify trends, and present actionable insights to improve service delivery and outcomes.
- Experience in case management or program coordination in employment or social service settings.
- Experience working with vulnerable populations and understanding of trauma-informed practices.
- Strong organizational skills and attention to detail in documentation and data handling.
- Proficient in verbal and written English at a professional level, with excellent communication and interpersonal ability.
- High proficiency in MS Office Suite (Excel, PowerPoint, Word, Outlook, SharePoint).
- Valid Class 5 Driver’s License and access to a reliable vehicle.
- Criminal Record Check.
- Emergency First Aid certification is an asset.
- Ability to manage confidential and sensitive information effectively and possess strong integrity.
Skills a****nd Competencies:
- Proven ability to build relationships at all levels, including presenting information to multicultural groups and providing one-on-one career coaching.
- Demonstrated ability to work collaboratively within teams, including inter-departmental and community service providers.
- Intermediate to advanced proficiency in MS Office, internet, and email applications. Experience using social media for client recruitment and communication is preferred.
- Highly motivated, action-oriented, and driven.
- Strong analytical skills are essential.
Knowledge:
- Understanding the needs and issues faced by job seekers in Canada.
- Familiarity with relevant community resources, programs, and services.
- Awareness of Canadian employment legislation and policies (e.g., Employment Standards Act, WorkSafe BC).
- Familiarity with the Canadian post-secondary education system and existing employment services.
- Knowledge of adult learning models, the career decision-making process, and assessment of pre-employment barriers.
