About the role

The Active Living in the Faculty of Kinesiology is currently seeking a Recurring Part-time Operations Assistant .

The University of Calgary's Active Living department is one of the largest and most diverse recreation departments based on a North American campus. Active Living has a team of 40 full time and up to 600 part time staff. On an annual basis our staff handle 47,000 registrations in over 75 recreational and sporting activities, and provide facility access to over a million users to our facilities: North America's largest Outdoor Centre with climbing and bouldering walls, a gymnastics centre, an Olympic sized pool, a fitness centre with 200 m track, Canada's largest university racquet centre, five gymnasiums and access to the Olympic Oval. The Outdoor Centre also provides its students and community over 16,000 outdoor equipment rental orders each year. Active Living's mission is to enrich lives by providing quality programming and educational experiences which promote and encourage lifelong active living for all.

The Health and Wellness unit offers a wide range of programs and services to support individuals in the attainment of an improved quality of life and optimal health. Programs and facilities in this area include fitness centres, group fitness, adapted and rehabilitative programming, and personal and group training. Facilities and programming are available to students, faculty and staff, and the general public. The area is led by a team of health professionals that include Certified Exercise Physiologists and Kinesiologists.

The Fitness Centre is the flagship facility in the University of Calgary's Active Living department. It boasts a minimum of 500,000 users annually, with approximately 67% of all University of Calgary students, 300 faculty and 500 staff using the facility each year. The facility will admit 11,000-15,000 patrons each week during the peak periods.

This position reports to the Manager, Fitness Centre, Active Living and has accountabilities to the Coordinator, Fitness Centre. Hours will be based on operational need, determined by the Coordinator and Manager. The incumbent must have the flexibility to work mornings, afternoons, evenings and weekends. Shifts will closely mirror operation hours which are as follows: Monday through Thursday 6:00am-10:30pm, Friday 6:00am-9:30pm and Saturday through Sunday 8:00am-8:30pm. Peak periods run September-November and January-March.

Preference given to applicants with availability to work weekday evening shifts.

Please note that this position will require moderate physical demands related to the organization, cleaning, tidying and maintenance of the centre and its equipment.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Assists in the coordination of all operations within the Fitness Centre and associated fitness areas (High Performance Studio; Gold Fitness Alcove)
  • Suggests and discusses improvements in operations where necessary with the Coordinator/Manager
  • Acts as a leader, mentor and role model to part-time and junior staff; monitoring and discussing performance of staff with Coordinator and/or Manager where appropriate
  • Assists in the training of part-time and junior staff and assist the Coordinator in developing staff protocols
  • Participates in quarterly staff meetings, assisting the Coordinator in the creation of a relevant agenda
  • Delegates and ensure a continuous presence on the main gym floor, track level and front desk of all staff on shift
  • Ensures the Fitness Centre maintains a professional, inclusive, and welcoming atmosphere
  • Provides continual updates on Fitness Centre operations to the Coordinator, Fitness Centre and Manager, Health and Wellness where appropriate
  • Ensures track closures are properly completed
  • Ensures the Fitness Centre opens and closes as per scheduled operation hours
  • Ensures accurate record keeping for the sake of risk management (cleaning and maintenance records, etc.)
  • Tracks supply levels, orders and receives necessary supplies through the University's eProcurement program, following Supply Chain Management policies
  • Provides and models excellence in customer care
  • Provides an initial point of contact to all Fitness Centre clients, instructors, trainers and other stakeholders and to greet all clientele with a friendly verbal greeting, eye contact and a smile
  • Responds to patron questions and concerns in a friendly and professional manner
  • Obtains detailed and current knowledge on all Fitness Centre and Active Living services and programs, promoting and providing information to customers and clients
  • Processes program registrations, memberships and day passes on the University computerized systems
  • Accurately assesses fees, processes payments, authorizes credit card payments, and balances daily deposits
  • Ensures security of sensitive client information
  • Knows and follows all Payment Card Industry (PCI) compliance standards
  • Acts as the front-line authority who deals with customer complaints or exceptions to policies and procedures, escalating where necessary
  • Orients patrons on equipment unfamiliar to them
  • Provides spotting services to patrons
  • Approaches and diplomatically suggests corrections on any improper or dangerous techniques being used on the floor or equipment by patrons
  • Assists with communications of Fitness Centre updates, events and closures to all stakeholders
  • Maintains the display and supplies of marketing materials for the Fitness Centre front desk, and ensuring the area is neat and professional in appearance
  • Responsible for new member orientations, including scheduling bookings and training staff on how to conduct proper orientations
  • Controls access at the front gates, ensuring all members entering the facility have a valid membership, pass or wristband
  • Ensures that all alternate doors and exits are secured at all times
  • Continually monitors the elevator/cycle centre entrance, ensuring only patrons with mobility issues are using the elevator entrance; enforcing access control when necessary
  • Controls access to the various studios and alternate training areas
  • Leads the cleaning and tidying of the Fitness Centre and other associated fitness facilities and ensures the completion of all maintenance and cleaning checklists
  • Ensures accountability in all cleaning and maintenance activities within the Fitness Centre and associated fitness facilities, escalating with the Coordinator and/or Manager where appropriate
  • Performs daily inspections on recently cleaned and maintained equipment and ensuring duties are being properly completed; following up with staff, educating on proper cleaning and maintenance procedures, and escalating with the Coordinator and/or Manager where appropriate
  • Assists the Coordinator in the continual update of cleaning and maintenance checklists
  • Diagnoses and attempts light repairs of malfunctioning equipment where skill set and abilities allow; ordering service from a University approved fitness repair company when necessary
  • Provides continual updates on equipment issues to the Coordinator and to staff
  • Completes thorough monthly safety checks; ensuring deficiencies are dealt with in a timely manner; overseeing repairs through to the end
  • Initiates proper emergency and incident procedures
  • Properly documents all emergencies and incidents in accordance with University policy and informs/escalates to the Coordinator or Manager as appropriate
  • Knows all policies of the Fitness Centre; politely and assertively enforcing where necessary
  • Completes daily checks of the First Aid kit, ensuring supplies are maintained and restocked where necessary
  • Puts safety and security considerations above all others

Qualifications / Requirements:

  • Completion of at least 3 years of a post-secondary degree in a related field (Kinesiology, Sport or Recreation Management preferred)
  • Current CPR-Level C/Standard First Aid/Automatic External Defibrillator Certifications
  • A minimum of two years of professional experience working in a recreation department is required
  • A minimum of two years of professional experience working in a front line customer service position is required
  • Demonstrated professional experience in a leadership role
  • Demonstrated experience handling cash and payment transactions
  • Demonstrated professional experience as a key holder
  • Must be available to work morning, afternoon, evening shifts on both weekdays and weekends
  • Strong communication, organizational and personal effectiveness skills
  • Working knowledge of computer software applications including Microsoft Excel, PowerPoint and SharePoint
  • Working knowledge of using tools to conduct maintenance and repairs
  • Experience in fitness equipment maintenance and repairs an asset
  • Working knowledge of PeopleSoft and related University systems an asset
  • Comprehensive knowledge of services and programs offered throughout Active Living an asset
  • Experience with various social media outlets such as Twitter, Instagram and Facebook an asset
