What is the opportunity?
As an Executive Office Assistant, you will serve as the first point of contact for visitors and employees, ensuring a welcoming and professional front office experience, while also providing high-level administrative support to the Executive Suite and senior leaders. This dual-role position is essential for maintaining efficient office operations, managing executive schedules, handling confidential information, and coordinating internal and external communications.
What will you do?
- Maintain Outlook calendars and manage the coordination and logistics of both internal and external meetings
- Organize and execute events for the Executive Committee and support onsite meetings with external partners
- Arrange and coordinate domestic and international travel agendas, including accommodations and itineraries
- Process expense reports and assist with pre-approval workflows, ensuring adherence to company policy and guidelines
- Support technology requests, supply orders and general administrative queries
- Create and edit spreadsheets and presentations for internal and external meetings, including printing, copying, collating, and binding
- Manage visitor logistics, including greeting guests, coordinating check-in procedures, and preparing meeting spaces
- Collaborate closely with other team members to provide seamless support and serve as backup as needed
What do you need to succeed?
Must-have
- Prior administrative support experience in a business office environment
- Attention to detail and critical thinking skills
- Strong computer skills (including Microsoft Office)
- Strong interpersonal skills: able to work effectively with others in a professional manner
- Advanced written and verbal communication skills
- Excellent organizational skills with the ability to coordinate multiple projects at the same time
- Ability to work effectively under pressure and meet prescribed deadlines
- Self-starter who works independently with minimal supervision
- Able to handle confidential matters with discretion and good judgment

The expected salary range for this particular position is $45,000-$75,000, depending on your experience, skills, and registration status, market conditions and business needs.
