The Schulich School of Medicine & Dentistry is the largest faculty on the Western University campus and employs over 2,000 part-time and full-time faculty and over 1,500 staff.
Postgraduate Medical Education (PGME) is one of nine programs within the Education Portfolio in the Dean's Office at the Schulich School of Medicine & Dentistry (Schulich). Within a distributed medical education environment, the PGME Program is responsible for supporting 59 specialty and sub-specialty programs within Schulich. These programs run from 2-7 years leading to full certification from either the Royal College of Physicians and Surgeons of Canada (RCPSC) or the College of Family Physicians of Canada (CFPC).
Responsibilities
The Program Coordinator is responsible for supporting PGME Program Administrators to promote effective program coordination and maintain compliance with accreditation standards. In collaboration with the Manager, PGME, the role assists with onboarding and orientation of new Program Administrators, providing training, support and functional guidance in areas such as accreditation preparation and program best practices, and coordinating professional development and peer-to-peer learning opportunities and sessions. The Program Coordinator provides assistance in developing and implementing consistent guidelines, best practices, and procedures for approval to support the program and team, and collects, compiles and manages data, conducts analysis, and generates specialized reports for leaders to inform decision making. Through this work, the role will assist in building capacity, consistency, and excellence within the PGME community. The Program Coordinator will also provide administrative support for PGME Office accreditation preparation.
Qualifications
Education:
- 3 year University degree in a relevant field of study
Experience:
- 4 years of experience providing academic administrative support, coordination and team supervision in a medical academic environment
- Experience coordinating logistics of specialized programs
- Experience working as a PGME Program Administrator in a similar medical education institution is preferred
Knowledge, Skills & Abilities:
- Knowledge of RCPSC and CFPC accreditation standards with the ability to follow related policies and procedures
- Ability to provide solutions by using imaginative approaches where constructive thinking and innovation are required
- Facilitation and discussion-building skills with the ability to host large meetings (35+ participants) in person and via Zoom
- Ability to provide training and guidance to employees to meet high performance standards, while working effectively as a member of the team
- Proven ability to build consensus and maintain positive relationships with work colleagues
- Ability to synthesize information to write clear, concise and accurate procedural documentation, standard operating procedures, training materials, and reports
- Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience with the ability to provide training to others
- Demonstrated ability take initiative, to work independently and follow through on work assignments
- Ability to apply active listening to hear and understand the complete message being communicated
- Competency to maintain confidentiality and treat sensitive information with discretion
- Ability to establish rapport with people from diverse backgrounds
- Demonstrated ability to understand and resolve external and internal partner issues
- Ability to maintain a positive, outgoing attitude with genuine customer service orientation
- Ability to process information with a high degree of accuracy, and follow formal business practices with high attention to detail
- Ability to understand, interpret, and effectively communicate University guidelines, policies and practices to key stakeholders
- Ability to multi-task and maintain an organized and effective personal work environment with the ability to manage multiple activities from conception to completion within prescribed timelines
- Adapts readily and effectively to changing priorities and demands
- Ability to make appropriate decisions and resolve issues by identifying the critical elements of a problem situation and considering each aspect
- Ability to interact professionally and work effectively with internal and external clients at all levels of management and other members of the University community
- Ability to work independently and effectively as a member of the team to achieve program goals with the motivation and ability to work with little supervision
- Intermediate proficiency required in Microsoft Office in order to prepare emails, reports and documents, and to input data into spreadsheets and databases
- Familiarity with software applications used by Western preferred – e.g. Cascade, Schulich Administrative System, Elentra, CanAMS
- Familiarity with Western policies and guidelines preferred
