The Role
The Project Administrator is a critical member of the Project Management Office (PMO), ensuring that every project is executed with precision and efficiency. This role is the backbone of project delivery—responsible for capturing, organizing, and translating project information into actionable insights that drive decision-making.
With a strong emphasis on data entry, documentation, and reporting, the Project Administrator ensures that schedules stay on track, milestones are visible, and teams have the information they need to succeed. By maintaining accurate records, producing timely reports, and safeguarding compliance, this position directly supports the PMO’s mission of delivering projects on time, on budget, and to the highest standard.
Key Responsibilities:
Data Entry & Documentation
- Accurately enter and maintain project data in company systems, databases, and project management software.
- Collect, analyze, and organize project documentation, including photographs, data, daily reports, and weekly reports.
- Perform high-volume data entry and convert raw data into actionable insights for reporting and presentations.
- Maintain organized electronic and physical filing systems for easy retrieval of project information.
- Prepare project close-out documentation and assist with demobilizing and archiving records.
- Maintain confidentiality of all sensitive and proprietary information.
- Evaluate and implement new software, tools, and technologies to enhance productivity and data accuracy.
Meeting & Reporting Support
- Record and transcribe accurate minutes from meetings, ensuring timely distribution and follow-up on action items.
- Assist in preparing and distributing project reports, trackers, and dashboards for internal and client use.
- Support the preparation of presentations and handover packages.
Project Administration
- Assist in maintaining project schedules, tracking milestones and deliverables throughout the project lifecycle.
- Report on project progress and flag variances to Project Managers.
- Support coordination of project documentation between field teams, subcontractors, vendors, and head office.
- Provide day-to-day administrative support and complete additional tasks as assigned.
What You Bring
- Post-secondary education in Business Administration, Office Administration, or a related field preferred. Equivalent experience will be considered.
- Minimum 2 years of administrative experience, preferably in construction, utilities, or related industries.
- Demonstrated experience in high-volume data entry and documentation management.
- Advanced proficiency in Microsoft Excel and PowerPoint
- Strong working knowledge of the full Microsoft Office Suite, including Word, Outlook, and Teams
- Experience with project management or ERP software (MS Project / SAP) considered an asset.
- Strong keyboarding and data entry skills (speed and accuracy).
- Proven strong work ethic with the ability to thrive in a fast-paced, results-driven environment
- Fluent in English (both written and verbal communication)
