The opportunity:
Reporting to the Board Secretary, the Board Governance Coordinator provides confidential governance and administrative support to the Board of Directors and its committees. This role requires exceptional attention to detail, organizational skills, and discretion.
Board Administration:
- Manage the board portal (currently BoardEffect), agendas, calendars, and meeting logistics
- Draft agendas, reports, and minutes for Board and Committee meetings
- Maintain action items, attendance records, and contact lists
Governance Support:
- Process monthly board remuneration and director expense claims
- Coordinate director orientation, training approvals, and program registrations
- Maintain governance documentation on SharePoint
Events & Compliance:
- Support AGMs, strategic sessions, and other board-related events
- Assist with annual governance processes (e.g., code of conduct acknowledgments, independence declarations)
- Track and support succession planning activities
General Support:

Review memos and reports for accuracy and formatting

Monitor and update the Governance Team workplan

Maintain confidential records and identify opportunities for process improvements

Assist with Board budget expenses, including invoice coding and approvals
What Will Help You Succeed?

Recognized legal assistant, paralegal program, or office administration program, or equivalent combination of education and work experience.
-
- Minimum 3 years’ experience as a legal assistant/ paralegal or office administrator.
-
Corporate governance experience would be considered an asset.
-
Excellent organizational and time management skills with the ability to handle multiple priorities.

Strong communication and interpersonal skills, with high levels of professionalism and discretion.

Advanced technical skills in Microsoft Office (Outlook, Word, PowerPoint, Excel, SharePoint, Teams)
What to expect in your first several weeks on the job:
In the first week, expect to:
- Introduction to the team, the organization, and the mandate. Introduction to Board Processes
- Begin orientation and onboarding.
In the first month, expect to:
- Perform core duties with limited support.
- Continue to learn more about the organization and the Board processes.
- Continue onboarding.
In the first three months, expect to:
- Perform core duties independently.
- Establish a performance and development plan with your manager.
