Position Summary
The Parts & Inventory Lead plays a key role in supporting the daily operations of the Parts & Inventory team at Upstream Data. This position is responsible for organizing, tracking, and assembling parts required for builds across multiple departments, including Fabrication, Welding, Electrical, Industrial Mechanics, and Machining. The Parts & Inventory Lead ensures accuracy, efficiency, and organization in the parts process to support production schedules and maintain optimal inventory levels.
Key Responsibilities
Team Leadership & Supervision
Delegate daily operational tasks to the Supply Chain team, including picking, material movement, and facility cleanliness. Train warehouse personnel on engine part identification, ERP system best practices, and safe warehouse operations. Ensure the team consistently meets daily kitting deadlines and maintains a 99% accuracy threshold in both physical counts and system entries.
Production Kitting & Shop Support
Oversee and streamline the comprehensive "Kitting" process for Engine Rebuilds and Fabrication projects, ensuring every bolt, gasket, and individual component is verified and delivered to the correct bay before technicians begin work. Coordinate directly with Plant Managers to dynamically adjust parts delivery schedules based on shifting production priorities or urgent "Special Projects."
Inventory Integrity & Audit
Reconcile receiving errors, investigate stock discrepancies identified during cycle counts, and execute corrective measures. Perform quality assurance spot checks on incoming high-value components to ensure they meet strict quality specifications before being binned. Administer routine inventory count procedures and rolling counts to confirm data integrity and minimize system inventory variance. Manage the Core Return program for engine components, tracking high-value trade-ins and ensuring they are processed and shipped to vendors to capture maximum financial credits.
Warehouse & Facility Logistics
Architect the warehouse layout and storage strategy to maximize storage density and minimize "pick time" for the Parts and Inventory team. Ensure all material handling equipment (including forklifts, pallet jacks, and racking systems) is regularly inspected and maintained in strict accordance with Alberta OHS standards.
Qualifications & Skills
5+ years of progressive industrial experience, with at least 2 years in a leadership role managing a warehouse or parts department. High level of proficiency using ERP software to manage complex, multi-location inventory. Strong proficiency with Microsoft Excel, Microsoft Office, and Google Workspace tools. Practical, working understanding of Alberta OHS legislation. Hands-on experience operating forklifts and overhead cranes is highly preferred. Solid understanding of project cost tracking, inventory flow principles, and industrial production documentation. Valid Class 5 Alberta Driver’s License with the ability to provide a clean driver’s abstract. Exceptional organizational and time management skills with a keen attention to detail. Strong cross-functional communication skills, a self-motivated approach, and the adaptability to handle competing priorities in a fast-paced environment.
Working Conditions & Physical Demands
Work is primarily performed on-site within an active shop and industrial warehouse environment. Expect daily exposure to standard industrial elements, including noise, dust, and moving mechanical equipment. Requires regular physical activity, including occasional lifting, bending, and standing for extended periods of time. Full compliance with company and provincial safety regulations is mandatory. Continuous use of personal protective equipment (PPE) including safety boots, gloves, hard hat, and eye protection, is a condition of employment.
