The Opportunity

Reporting directly to the Vice President Student Affairs and External Relations, the Executive Assistant provides executive support to the VP SAER in their management responsibilities. The Executive Assistant acts as the first point of contact for the VP and provides support for several committees and ensures a high standard of accurate, timely and impartial dissemination of information. In addition, the Executive Assistant provides project management, research, communications, and meeting coordination support.

The Executive Assistant will have a significant impact on the general perception of the VP SAER office by both internal and external constituents and therefore requires a high level of visibility, leadership, and personal contact. This is a demanding position, as the Executive Assistant is expected to take initiative and work independently, with little direction, and with a high degree of professionalism, accuracy, and sound judgment.

The Role

    • Administrative Support
    • Provide comprehensive administrative support to VP, including managing calendar, scheduling meetings, and coordinating travel arrangements
    • Process expense reports and manage budget tracking for the office
    • Ensure all expenditures comply with SAIT expense and travel policies
    • Orders supplies for the office and supports the Executive Office Team as required
    • Meeting and Event Coordination
    • Organize and facilitate meetings, including preparing agendas
    • Ensuring VP is briefed and prepared with supporting documentation, taking minutes as required, and following up on action items
    • Booking tables for third-party events, managing guest lists, and preparing meeting/event briefing notes as appropriate
    • Communication
    • Preparing and compiling speaking notes for VP, producing presentation materials
    • Act as a liaison for VP as needed, handling communications with professionalism and confidentiality
    • Ensures effective communication internally and externally for the Office of the VP and across the SAER division
    • Project Management
    • Assist in the management of projects and initiatives, ensuring timely completion and adherence to deadlines
    • Conducts research and compiles data to support decision-making processes
    • Produces briefing notes and background reports on key issues as required
    • Prepares and/or summarizes reports and prepares background materials by compiling and analyzing information
    • Contributes to divisional projects by providing support, reporting, and data collection as required

Qualifications & Experience

    • Bachelor's degree in Business Administration or similar program
    • 3-5 years supporting senior-level positions
    • Certification in change management, project management would be an asset
    • Equivalent combination of experience and education may be considered

Knowledge & Skills

    • Strong working knowledge of Microsoft Office Suite including use of Copilot
    • Exceptional communication skills – verbal, written, and presentation
    • Excellent organizational and time management skills
    • Adept at using technology
    • Able to work independently with little direction, and with a high degree of professionalism, accuracy and sound judgment

Job Classification: P3014 - Executive Assistant

Salary Range: $80,000 - $85,000

Paid Leave: 4 Weeks Vacation / 14 Flex Days per year

Hours Per Week: 37.5
