Shift Schedule: Monday – Friday

Hours: 8:00AM – 4:30PM

Location: Edmonton

Work Model: Hybrid (2 days in office)

Forbes Bros Ltd***.*** is seeking an experienced Proposals & Marketing Administrator (Full-time, Permanent) to join their team in Edmonton, Alberta. The successful candidate will be detail-driven and support in preparing and publishing critical content to support various projects in collaboration with various departments.

The Proposal & Marketing Administrator will work in partnership with our estimating, operations, and human resources departments to prepare and develop tender documents, presentations, public relations, and promotional documents. This individual will act as a gatekeeper for all corporate communication materials, with a significant focus on content development and editing content developed by others for quality and consistency.

Key Responsibilities:

  • Emulates Forbes Bros core value of 'WE WORK SAFE' in all daily tasks
  • Lead the end-to-end coordination and production of RFQs, RFPs, and RFIs
  • Develop detailed bid plans, assign responsibilities, coordinate deliverables, and schedule review meetings to ensure timely completion
  • Collaborate with technical staff, subject matter experts, and leadership to gather required content and strategic input
  • Write, edit, and format proposal materials to ensure clarity, consistency, accuracy, and compliance with client requirements
  • Maintain and update proposal content libraries, staff resumes, project descriptions, and boilerplate materials
  • Oversee final production and ensure timely submission of complete, compliant, and high-quality proposals
  • Monitor bid platforms and identify relevant opportunities
  • Maintain CRM database with accurate and up-to-date information
  • Assist in developing and updating marketing collateral, including brochures, capability statements, presentations, and website content
  • Assist in coordinating social media and digital marketing initiatives
  • Support brand management by maintaining consistency in messaging, design, and tone
  • Partner with our Estimating, Operations, and Human Resources departments to prepare and develop tender documents, presentations, public relations, and promotional documents
  • Act as a gatekeeper for all corporate communication materials

What We Are Looking For:

  • Post-secondary education in Project and/or Construction Management or Engineering, is required
  • Minimum two (2) years prior experience as a Proposals & Marketing Administrator or equivalent role, is required
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Visio) and Adobe Acrobat
  • Proven track record of maintaining high quality standards while working within tight deadlines
  • Strong analytical and problem-solving skills
  • Self-motivated individual with strong attention to detail and high degree of professionalism
  • Excellent interpersonal skills: ability to communicate and interact effectively with all levels of management, employees and clients
  • Ability to work independently with little direction and with a sense of ownership and personal commitment to a culture of zero injury/occupational illness
  • Ability to work with minimal supervision in a fast-paced environment leveraging excellence in time management
  • Able and willing to provide an acceptable five (5) year Driver's Abstract
