As we grow, we’re seeking a highly organized and proactive People Operations Specialist to support our internal operations and employee experience.
About the role
As a People Operations Specialist, you’ll play a critical, cross-functional role that spans HR operations, payroll and benefits, finance coordination, and in-office experience. You’ll be trusted to manage sensitive systems, support internal processes, and collaborate closely with Finance, Leadership, and the broader team. This is a high-impact, mid-level role ideal for someone who thrives in a dynamic environment and brings precision, integrity, and initiative to everything they do.
What you'll do
HR Operations (40%)

Maintain and optimize our HRIS (e.g., Deel), employee files, and compliance documentation.

Support employee onboarding and offboarding processes across teams.

Help implement people programs, policy updates, performance tracking, and employee engagement initiatives.

Respond to internal HR-related queries with discretion and accuracy.

Administer payroll through platforms such as Dayforce and external providers, ensuring accurate and timely processing.

Coordinate benefits administration, including enrollment, changes, renewals, and employee communications.

Support full cycle recruitment and selection efforts.

Execute talent acquisition branding activities alongside the marketing department.
Finance Administration (40%)
- Support accounts payable and receivable processes alongside the Finance team.
- Execute payments and manage vendor transactions using tools like Plooto, Stripe, and QuickBooks Online.
- Administer reimbursements and expense reporting.
- Support the Finance team’s monthly reconciliation processes.
- Assist the Finance team with finance-related reporting and internal audits.
- Use strong Excel / Microsoft Suite skills to track and report on payroll, expenses, and people-related data.
Office Operations (20%)
- Serve as point person for management of our Toronto office, maintaining a well-equipped, organized, productive, and welcoming workspace.
- Coordinate office logistics including team events, catering, supplies, equipment, office improvement initiatives, and meeting support.
- Liaise with building management and external vendors to ensure smooth daily operations for Common Wealth as well as our clients and partners.
- Support hybrid workplace initiatives to improve work life for all Common Wealth team members and assist in coordinating in-person team gatherings.
Who you are
- 3+ years of experience in HR, finance operations, or business administration roles.
- Familiarity with payroll, benefits, and Canadian employment standards.
- Proficiency with tools such as Deel (or similar), HRIS, ATS, Plooto, Stripe, QBO, and/or similar expense/payment systems.
- Advanced Excel and spreadsheet skills — including pivot tables, conditional formulas, data analysis.
- Highly organized with great attention to detail and a proactive approach to solving problems.
- Comfortable handling confidential information with discretion and professionalism.
- Clear communicator who thrives in a collaborative, fast-moving environment.
- Excited to learn new skills and tackle unfamiliar problems.
- Ambitious and thrives in a variety of work experiences.

Work Arrangement
