Facility Coordinator (Full Time) - Edmonton, AB
Reporting to the Regional Transportation Superintendent, the Facility Coordinator is responsible for the day-to-day clerical and facility maintenance work activities for the M&O distribution department while ensuring compliance.
Functions Performed:
- Answer the phone and make phone calls
- Receive visitors and ensure they register in the visitor's log
- Handle courier and ensure proper distribution
- Handle, organize, review and file daily drivers' paperwork, including all common carriers
- Submit and file as needed all documents related to CPOs and product pickups at our competitors
- Monitor drivers' delays
- Audit and complete drivers' weekly payroll in PALS
- Audit and complete drivers' and mechanics' weekly expenses in Emburse
- Provide explanations to drivers with pay or expense issues
- Report any omissions or deviations found on paperwork to the Transportation Superintendent
- Monitor drivers' logbook hours and report any exceptions to the Transportation Superintendent
- Audit, code and report all Corporate Credit Card transactions in Emburse
- Handle and process all work orders in EAM system
- Audit, code and file all vendor invoices
- Manage the local list of contractors
- Manage all Safety Data Sheets under the WHMIS program
- Complete and file EAM work orders
- Audit and complete the monthly fuel report and forward the report to Head Office in Mississauga
- Maintain the office supplies' inventory
- Maintain the safety supplies' inventory
- Prepare Purolator shipments
- Coordinate facility repairs and upgrades with approved contractors
Education, Kowledge and Skills Required:
- High School Diploma
- Strong team player
- Highly detail oriented
- Ability to multi-task
- Strong organizational skills
- Experience with Microsoft Office Suite, including Outlook & Teams
- Can work well with minimal supervision
