Position Summary *** Note: Pay Range is based on 2025 Rates of Pay***
**This position is a temporary position covering full-time hours for up to 10 months**
Reporting to the Supervisor, Public Works Administration this position supports various programs, services and leaders of the Engineering and Transportation departments. The Clerk will assist with all general administrative office functions requiring strong organizational and interpersonal skills to ensure positive representation of the departmental service deliveries.
Key Duties & Responsibilities Monitor, audit and process biweekly payroll and attendance
Gather and complete time entry
Monitor and greet public at building entrance
Monitor and report on capital and operating budgets, program accounting and manipulate various financial information as requested
Prepare payment certificates and associated financial reports including frequent budget monitoring via the current Financial Management System (FMS)
Coordinate the processing of departmental permits and approvals, including receipt of payments and associated accounting
Purchasing and reconciliation of Procurement Cards for department representatives
Establish and maintain manual and electronic filing systems, records management and disposal
Assist in report preparation and formatting with all required standards, including Council/Committee reports
Assist in the maintenance of records in City databases and create reports as required
Provide administrative support for procurements, including Purchase Orders, Request for Proposal (RFP), Request for Information (RFI) and construction tenders
Order supplies for department as directed
Handle public inquires by phone, email, in person and other means as needed and provide assistance in coordinating a response utilizing the Customer Relationship Management (CRM) system as required
Assist with all other areas as directed
Other duties as assigned
Qualifications, Competencies 2 year diploma in office administration or equivalent
1 year experience in office administration including basic accounting practices
Knowledge of municipal practices and familiarity with related asset management information and systems including municipal construction, infrastructure maintenance, policies, work order processing and financial reporting would be an asset
Must demonstrate corporate values of Belonging, Collaboration, Accountability, and Innovation
Skills, Abilities, Work Demands Typing 40 wpm
High proficiency in Microsoft Office programs including: Word and Excel (Intermediate level) and PowerPoint
Payroll knowledge
Ability to work independently on projects and communicate potential problems with respect to scheduling or progress
Proficiency in PeopleSoft and Tower Records & Information Management (TRIM) preferred
Ability to communicate effectively and write concisely and accurately
Excellent interpersonal, organizational and customer services skills showing initiative, tact and excellent public relations skills are required
Must be a team player, self-starter and perform well in a busy office under high pressure and stressful conditions
Must obtain and maintain a satisfactory criminal record check
