Position Overview
Reporting to the Program Manager, Program Director or delegate, the incumbent provides efficient secretarial support to the Program/Department.
Establishes and maintains effective and efficient office systems and assists other secretarial staff in the Department as required. Types a variety of correspondence including letters, memos, call schedules, grants, manuscripts and abstracts, lecture notes and curricula vitae. Takes and transcribes minutes as required. Assists the secretary with office workloads, including filing confidential records, incoming/outgoing mail, manages calendars, directs phone calls appropriately and takes messages. Performs all payroll duties for the portfolio including timekeeping, recording hours electronically, investigating discrepancies and initiating corrective action, monitoring vacation schedules and sick time utilization. Performs other duties as required.
Experience
Three years similar or directly related experience required. Experience dealing effectively will all levels of Management, staff, outside agencies and the general public. Experience recording and preparing minutes and agendas. Experience maintaining spreadsheets and databases. Previous healthcare experience preferred.
Education (Degree/Diploma/Certificate)
Complete high school education Manitoba standards, required. Successful completion of a recognized secretarial training program required. A combination of education and experience may be considered.
Qualifications And Skills
Typing speed 60-70 wpm. Medical terminology may be required. Proficiency with computerized systems (Microsoft Office Word, Excel, Access, and PowerPoint) and the ability to learn new computerized systems, required. Knowledge of ESP, SAP, SuccessFactors an asset. Experience with email and computerized calendars. Knowledge of hospital administrative systems and equipment. Excellent written, oral communication and interpersonal skills required. The incumbent must be able to demonstrate good judgment, initiative, diplomacy and have the ability to coordinate workflow and develop efficiencies. Excellent problem-solving, planning, organizational, project and time management skills are required. Demonstrated ability to work independently with limited guidance and supervision. Ability to prioritize a large workload and independently complete a variety of administrative duties. Ability to work in a fast-paced environment and work effectively under pressure to meet deadlines with frequent interruptions.
Physical Requirements
Required to work for long periods of time at a computer. May be required to occasionally work extended hours. May be required to work evening or weekends. May encounter aggressive and/or agitated clients/visitors/staff. Must be able to attend meetings on-site and off-site. May be required to work evenings and/or weekends.
This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
