The Role We are seeking a bilingual English and French Program Manager to act as the primary contact for various accounts. You will act as an intermediary between clients, agencies, and internal departments from start to finish of all projects. You will create timelines, manage all aspects of production, and conduct work reviews upon project completion, as needed. You will interpret and create guidelines for various internal teams, monitor the quality of all proofs, verify audits, and coordinate data file transfers. You will also establish and maintain quality standards and checkpoints to ensure work is completed in accordance with client requirements and specifications.
This position is office presence required five days per week.
Key Responsibilities
- Work with representatives by providing essential support in administrative tasks, planning new projects or new orders for assigned clients. Play a significant role in developing business related to accounts under management. Ability to negotiate new business directly with the client when necessary.
- Lead project management activities. Respond to client questions and take action as needed; direct marketing or kitting and order fulfillment projects, printing, production, estimating, inventory, deliverables and client questions, project budgets, problem identification and solution development.
- Ability to independently translate client requirements into technical specifications and lead discussions with internal departments to promote the solutions offered to the client.
- The incumbent in this position must be able to advise and recommend the best production approach, including, but not limited to, format, quantity, paper, finishing and sending by Canada Post or any other delivery method. You will devote time to analysis in order to be able to make proactive recommendations that will benefit your customers.
- Warehouse orders and order tracking and tracing.
- Prepare quotes (directly or with the help of estimating).
- Enter sales and production orders, as well as purchase orders.
- Reconcile and close orders to ensure accurate invoicing.
- Work with various suppliers and effectively negotiate procurement.
- Manage project pricing in our ERP system, including item pricing, supplier agreements, batch pricing, contract or fixed rates, and ensure accuracy.
- Generate reports and analyze inventory independently to make replenishment recommendations.
- Generate and prepare various reports for clients and representatives.
- File management (moving digital files to archiving sites, retaining or deleting client files in accordance with contract terms, purging digital and physical files to ensure records are up-to-date).
Skills & Experiences
- Knowledge of invoicing processes is an asset.
- Excellent communication skills, attention to detail, ability to multitask, good interpersonal skills, excellent problem-solving skills, independent work, decision-making ability, process-oriented.
- Understanding of ISO and quality control processes.
- Ability to simultaneously manage products and tasks related to different projects (or project elements) under strict deadlines and in a fast-paced environment.
- Patient, proactive, and disciplined.
- Experience in customer service and data entry.
- Exceptional organizational, writing, communication, time management, and teamwork skills.
- Negotiation skills.
Qualifications
- Minimum 3 years of experience in print production and marketing communications.
- Experience in data planning, processing, and coordination, or other relevant experience.
- Expertise and strong knowledge of digital printing, offset printing, direct mail, and related processes. Knowledge of web and label printing is an asset.
