About the Role
We’re growing our Optometry team and are excited to recruit Rehab & Wellness Administrators to be part of the launch of our new Toronto Metro Centre clinic, opening in early November. This is a unique opportunity to join HealthOne at an exciting moment of growth and help bring our collaborative, multidisciplinary model of care to a brand new downtown location.
As the Rehab & Wellness Administrator at HealthOne, you’ll play a vital role in keeping our department running smoothly and ensuring every patient has a positive, memorable experience. You’ll be the backbone of the team, managing administrative tasks with precision and efficiency while delivering exceptional client service. If you’re organized, detail-oriented, and passionate about supporting both patients and healthcare professionals in a fast-paced, collaborative environment, this is the perfect opportunity to grow with a leading multidisciplinary clinic.
Responsibilities:
- Deliver compassionate and welcoming service to every patient, ensuring a consistently exceptional, five-star experience.
- Manage administrative duties with meticulous attention to detail, including optimizing schedules, confirming appointments, processing payments, liaising with insurance providers, and accurate patient data entry.
- Stay informed about treatments offered to provide knowledgeable recommendations and suggest appropriate products such as supplements and orthopedic devices.
- Support smooth clinic operations by adhering to policies and procedures, contributing to team goals, and maintaining reliable support throughout the day.
- Proactively identify opportunities to enhance the patient experience and assist management in driving clinic performance and growth.
Qualifications and Skills:
- Minimum of 6 months’ experience in an administrative role within a similar environment, preferably in wellness, physiotherapy, or rehab clinics.
- Excellent client service skills with strong verbal and written communication abilities.
- Demonstrated strong work ethic, organizational skills, and the ability to manage multiple priorities efficiently.
- Self-motivated and goal-oriented, with a willingness to take on diverse responsibilities and grow with the team.
- Tech-savvy with proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
Assets:
- Experience using a CRM/EMR, specifically Jane software.
- Post-Secondary education in Kinesiology or a similar topic.
