We are currently recruiting for a Front Office Coordinator to join our team in the Vancouver office.
About the role:
-Front Desk Reception:
- Greet and receive guests, directing them to their hosts and meeting rooms.
- Ensure visitors are properly informed of safety procedures through our visitor management system - Envoy. -Office Maintenance and Appearance:
- Coordinate light cleaning tasks or work with cleaning staff to maintain a pleasant office/desk space appearance.
- Manage kitchens and coffee machines, restocking coffee/tea and supplies.
- Update the Coffee Inventory Tracker
- Fill, Run, and empty dishwashers, conduct weekly fridge purging.
- Manage mail distribution and handle FedEx and corporate courier management for packages. -Administrative Tasks:
- Answer phone calls and provide assistance as needed.
- Update the reception manual to reflect current processes.
- Change out desk labels and ensure accurate desk and office booking assistance.
- Manage and update the Fob Security Spreadsheet and Key Inventory Spreadsheet.
- Issue and assign fobs to employees as needed. -Supply Chain and Procurement Management:
- Receive and create purchase orders (POs) in Oracle.
- Refill printers and order office supplies as needed. -Health and Safety Management:
- Coordinate monthly Health and Safety walkthroughs and ensure timely submission of checklists.
- Conduct daily safety walkthroughs and implement changes to meet safety standards.
- Manage PPE equipment and returns. -Event Support:
- Assist with catered meeting set up and cleanups. -Onboarding and Offboarding:
- Coordinate onboarding and offboarding processes for staff.
- Provide office tours and create welcome bags for new employees.
- Prepare desks in coordination with IT and HR.
- Receive equipment and send Facilities orientation material to new hires.
About you

Strong communication skills

Previous experience as a receptionist in a fast-paced, professional environment

Available to work Monday - Friday in office from 8:00 a.m.– 4:30p.m.

Confidence and professionalism in all interactions, demonstrating a polished, welcoming, and service oriented presences

Ability to manage competing priorities

Strong attention to detail and sound judgement, particularly when providing information or directing inquiries

Salary range:$45,000 – $50,000 annually
