The Ministry of Justice is responsible for providing a fair justice system that upholds the law and protects the rights of all individuals in Saskatchewan; promotes safe and secure communities; and provides legal and justice policy advice to assist government.

The Public Prosecutions Branch is seeking a skilled, ethical, confident individual to work at Head office to provide comprehensive administrative/IT support out of Regina to our Regional offices.

We are looking for an individual to provide effective application support, solving user and system issues in a timely and efficient manner. There is also an element of forward thinking to this position that will allow you to support continuous improvements and development with the division’s future projects. This role also requires clear communication to non-technical colleagues and stakeholders and will involve exposure to a range of applications, as Prosecutions moves towards electronic files and disclosure. You will have extensive understanding of legal terminology, legal documents and court processes so you can deal with user inquiries, facilitate the resolution of technical issues and ensure that applications are being used, managed and enhanced to their maximum potential. You will also have good technical ability with operational understanding of some or all of the following: EPIC, MOVE (Multi Organizational Vertical Exchange), Microsoft Azure, CJIMS, MoveIt, DevOps, PIES/Niche, PPAS, ADLIB, SharePoint, Windows 10, Microsoft Office 2010 and WordPerfect 12, x7, and x8.

The successful candidate will have the ability to provide excellent customer service by maintaining an understanding of the systems and applications and display a commitment to providing excellent service to internal and external customers. You must also have the ability to troubleshoot by using a variety of tools and techniques for anticipating, recognizing and resolving technical, organizational, operational or process problems. You must have the ability to manage multiple concurrent activities, by showing effective judgment in prioritizing activities and time allocation. You must have the ability to resolve problems that arise from the division’s applications where there is no precedent and make recommendation for resolving these issues inside the existing policy and where existing policy does not meet requirements, make recommendations for a new policy. You will also have the ability to assist in the assessment of system design/development, delivery of services and collection and dissemination of information; test existing applications and any other project related applications under development to identify and remediate potential problematic areas; and work with vendors/developers to install, configure, test and support various applications/systems.

The successful candidate must have knowledge of analyzing and investigating application/systems for potential problems to determine the root cause, taking the necessary resolution action or escalation as necessary. You will also have knowledge of technical support in helping end users by investigating and resolving application/system questions and issues. You will have knowledge of training and advice on automation services and functions to/for the Prosecutions Division. Knowledge of development of workable Word and WordPerfect templates that conform to the Government of Saskatchewan visual identity standards for the division, different workflows throughout the division; and electronic file exchange between Saskatchewan Police Agencies and Prosecutions is also required.

Typically, the knowledge and abilities required for this position would be obtained through a two (2) year certificate or diploma course in computer programming and/ or a court services certification or a combination of relevant education and experience to its equivalent.

This position will be required to travel throughout the province if necessary.

Duties and Qualifications:

  • Seamlessly integrate new technology into existing practices, while establishing thorough support procedures and the ability to train others to ensure a smooth transition;
  • Provide robust support to business and technical teams, optimizing system processes through enhancements and adaptability. This involves scrutinizing requirements, documenting tests and conducting rigorous system testing;
  • Translate business needs into technical and functional specifications and validate specifications with developers through user acceptance testing;
  • Analyze and investigate application/system for potential problems to determine the root cause, take the necessary resolution action or escalate as necessary;
  • Input, edit, update, retrieve, maintain, format and transmit data, create and generate queries, reports and documents using word processing databases, spreadsheets, communications and other software packages with speed and accuracy;
  • Empathetically listen to and calmly and courteously acknowledge the concerns and questions of clients and staff who may be confused, upset, frustrated and difficult to deal with, to determine the problem or concern and provide accurate information, advice and/or guidance;
  • Clearly and accurately explain complex issues, policies, procedures, legislation and other information to clients and colleagues;
  • Accurately, concisely and in a timely manner compose, record, proofread and/or edit a variety of correspondence using correct grammar, spelling and punctuation paying attention to detail;
  • Lead or participate in workshops/ training seminars and meetings to gather requirements and share ideas/findings and accurately record and transcribe minutes of these workshops/ meetings;
  • Precisely plan, schedule and co-ordinate travel and logistics for events such as meetings, conferences and workshops according to prearranged time frames;
  • Update, archive and maintain electronic and manual filing systems ensuring data and information is up-to-date and well preserved, easy to locate/retrieve;
  • Accurately reference, interpret and appropriately apply acts, regulations, policies and guidelines to daily operations; pertaining to the Government of Saskatchewan, court procedures, Provincial and Federal Law.
  • Independently assess, organize and accurately complete multiple tasks taking into consideration task complexity, frequent interruptions and deadlines;
