Your Role In Supporting Our Members The Executive Assistant is a trusted partner who plays a vital role in enabling the success of three senior leaders. You’ll be part of a collaborative administrative team that values initiative, professionalism, and a commitment to service. Your ability to anticipate needs, manage complexity, and communicate with clarity will be key to creating capacity and impact across the organization.
In this role, you’ll leverage your organizational expertise and proactive mindset to manage competing priorities with confidence. You’ll act as the voice and right hand of your executives - streamlining operations, coordinating communications, and ensuring that every detail is handled with care. Your collaborative spirit and commitment to continuous improvement will help shape a high-performing, inclusive workplace.
This is a Permanent, Full-time role based at our Vancity Head Office location. This role will require you to predominately work in-office five days a week, with some flexibility to work from home time to time.
How You’ll Make An Impact
- Managing complex calendars, meetings, and travel logistics with foresight and precision
- Preparing agendas, reports, presentations, and meeting minutes to support effective decision-making
- Acting as a liaison and representative for the VPs, handling internal and external communications with professionalism
- Triaging information and requests to ensure the VPs’ time is focused on the highest priorities
- Tracking and reporting on the progress of delegated work, ensuring accountability and follow-through
- Processing invoices, expense claims, and supporting budget preparation
- Developing and maintaining administrative systems and documentation to support smooth operations
- Collaborating with Senior Executive Assistants and the broader EA team to ensure consistent, high-quality support
You Have
- Many years of experience in senior administrative or executive support roles, with a proven ability to handle sensitive and confidential information
- Exceptional organizational and time management skills, with the ability to anticipate needs and manage multiple priorities
- Strong written and verbal communication skills, with a professional and approachable demeanor
- A proactive, solutions-oriented mindset and the ability to work independently while staying aligned with team goals
- High proficiency with Microsoft Office Suite and other productivity tools
- Sound judgment, discretion, and the ability to handle sensitive information with care
- A collaborative and inclusive approach, with a passion for supporting leaders who are making a difference

The salary range for this role is $49,700 to $74,500 annually. Base pay offered may vary depending on factors such as relevant qualifications, skills, previous experience, and internal equity. As part of our total rewards package, employees may also be eligible for our annual incentive program, subject to program eligibility requirements.
