JOB PURPOSE

Reporting to the Community Engagement & Events Manager, the Parent Association & Retail Programs Coordinator acts as the primary liaison between The York School and the York Parent Association (YPA), and manages all aspects of the school's retail experience (The York Shop). This dual role requires strong communication, organizational skills, and initiative, focusing on effective volunteer and stakeholder management alongside efficient retail operations, logistics, and merchandising.

Given the dynamic and collaborative nature of our school environment, this role is an on-site position requiring to be in the office five days a week. Candidates should be prepared to contribute actively to this in-person, community-focused environment.

KEY RESPONSIBILITIES

  • Coordinate YPA meetings and serve as a consistent point of contact for YPA co-chairs, volunteers, and parent council
  • Coordinate logistics and administration of all YPA-led events & initiatives, including volunteer scheduling, day-of execution and school-wide events
  • Provide administrative oversight of the YPA budget in collaboration with the YPA Treasurer and Finance department, ensuring accurate coding, sign-off, and expense tracking
  • Oversee operations of the in-person and online experience of The York Shop
  • Manage merchandising, including inventory, product selection, ordering, restocking, pricing and sales, ensuring alignment with brand guidelines
  • Lead the sale and distribution of school uniforms, spirit wear, and branded items
  • Collaborate with academic leadership and the Marketing department to stay up to date on uniform guidelines
  • Coordinate the volunteer schedule for shop operations, including training and support for student and parent volunteers
  • Develop creative campaigns to promote shop sales, including input from stakeholders/customers and engaging shop displays
  • Support school departments and teams with merchandise coordination, acting as a centralized contact point
  • Other job duties as assigned

QUALIFICATIONS AND SKILLS

  • Post-secondary education in a related field, plus 3 years of relevant experience in volunteer coordination, event management and/or retail operations
  • Direct previous experience with volunteer management
  • Strong business acumen, financial literacy and experience working with budgets and reporting processes
  • Proven ability to work effectively as part of a collaborative, interdisciplinary team, contributing to a positive, inclusive school culture
  • Excellent written, verbal and interpersonal communication skills
  • Strong ability to engage collaboratively with students, parents, and staff, prioritizing a service-oriented approach by ensuring professionalism, respect, and responsiveness in all interactions
  • Has strong organizational and time management skills, with the ability to manage competing priorities and meet deadlines in a dynamic and fast-paced environment
  • Proficiency in navigating a technologically rich school environment, including point of sales systems (POS), and Google Workspace considered an asset

The target hiring range for this position is $64,000 - $75,000 per year, based on skills, qualifications, and relevant experience.

The York School has two campuses. The Junior School (JK - Grade 5) is located at 1639 Yonge Street. The Middle (Grades 6 - 8) and Senior Schools (Grades 9 - 12) are located at 1320 Yonge Street.
