##About Us

The Program Operations Team provides proficient and accurate coordination and administrative assistance to faculty members at the Ivey Business School. The team’s mission is to provide professional, efficient and effective support to faculty members, students, and our corporate clients.

##Responsibilities

The Program Assistant will coordinate the experiential learning and certificate activities for Ivey’s degree programs. The most significant effort required in this role is the coordination of the New Venture Project (NVP) capstone course for the HBA and MBA Programs and the GDIP – Accounting. In addition, the Program Assistant will act as a support for coordinators of other experiential learning courses as needed including the Ivey Digital Innovation Studio and CEMS Business Project.

The Program Assistant will be responsible for providing superior customer service to the students, client companies (includes Ivey alumni) and Executives-in-Residence (EIRs) participating in these programs. The Program Assistant will provide a full range of administrative support to the faculty and staff supervisors for these courses (includes the Faculty Instructors), Experiential Learning Associate Director, Client Relations Senior Associate. The Program Assistant will act as a resource and provides guidance and information in regard to the programs, prioritizing requests depending on time sensitivity, ensuring that the School’s professional and academic reputation is maintained.

##Qualifications

Education:

  • 3 year community college diploma in a related field
  • University degree is preferred

Experience:

  • 4 years’ experience providing administrative support and customer service to professional management personnel, senior administrators or faculty members

Knowledge, Skills & Abilities:

  • Ability to establish and build healthy working relations and partnerships with clients, peers and external stakeholders
  • Demonstrated ability take initiative, to work independently and follow through on work assignments
  • Positive attitude with genuine customer service orientation
  • Ability to work well under pressure and handle multiple competing priorities in a fast-paced environment with frequent interruptions
  • Strong problem-solving skills and sound judgement including experience formulating and executing action plans
  • Possesses a reputation for resourcefulness with a strong sense of accountability and initiative
  • Strong ability to adapt to various personalities and work styles
  • Self-motivated multi-tasker with strong organizational skills
  • A strong record of teamwork
  • Strong attention to detail and ability to process information with high levels of accuracy
  • Excellent verbal and written communication skills and confidence dealing with all levels of an organization
  • Professional manner and poise, and sensitivity in dealing with confidential issues and materials
  • Intermediate proficiency required in Microsoft Suite and demonstrated ability to quickly adapt to new technologies
  • Ability to work within a flexible schedule to accommodate the University's events and activities
  • Knowledge of the administrative policies and procedures of the University and Ivey Business School is preferred
