Sensity is a not-for-profit organization providing services and programs to members of the deafblind community. We are recognized in Canada and around the world as a leader in the provision of Intervenor Services.
We are seeking a professional, organized, and friendly individual to serve as our Administrative Assistant and Receptionist. This dual-role position is responsible for managing front desk operations, and providing administrative support to various departments, and ensuring smooth day-to-day office functions.
Key Accountabilities

Greet and assist visitors in a courteous and professional manner.

Answer, screen, and direct incoming phone calls.

Manage incoming and outgoing mail and deliveries.

Maintain a clean and welcoming reception area.

Open and close the front reception and Resource Centre.

Booking Resource Centre meeting rooms and facilities.

Register new employees with office pass keys including activation/deactivation.

Exercise tact and discretion when dealing with confidential information.

Provide general administrative support to the recruitment team such as screening resumes, conducting references, posting jobs and assists with enrollment of new hires into training programs.

Scan files and documents

Respond to routine inquiries from employees regarding benefits, policies, and procedures.

Performs other duties and support, as required.
Qualifications
- Community college diploma (or equivalent) in Office Administration, business administration or equivalent.
- Valid driver’s licence is a required.
- Working knowledge of meeting management, office operations / procedures and best practices.
- Good oral and written communication skills, with a strong client service orientation. Ability to work independently and as a member of a team.
- Solid time management, attention to detail and organizational skills.
- In-depth knowledge of MS Office Suite is preferred, including Word, Outlook and Excel.
Working Environment and Demands
- The position is performed in the head office setting.
- Occasional requirement for multi-tasking, simultaneous multiple urgent demands and / or work requiring attention to detail, subject to frequent, regular interruptions, or peak periods requiring an accelerated work pace or deadlines.
- Salaried position based on 40 hours / week, Monday to Friday. This position is not required to be on-call.
- Regular requirement for manual dexterity / coordination for computer use; regular requirement for light physical exertion typical of an office position, such as sitting, standing, walking and operating office equipment; minimal requirement for heavy physical exertion, including the ability to lift up to 25 lbs. (e.g. paper, files, office equipment machines).
- Regular requirement for low-intensity for mental or aural concentration for such activities as reading, inputting data, taking notes; regular requirement for high intensity mental, visual or aural concentration such as analyzing large volumes of data, listening to calls / presentations or face-to-face interactions of a more complex nature; minimal requirement for emotional strain.
