About Us
Executive Council provides support to the Premier, Cabinet and Cabinet committees. It develops and advances the government’s plan for Saskatchewan and manages how that is implemented across government. Other functions include: coordinating government business in the Legislative Assembly; maintaining all Cabinet documents, orders-in-council and regulations on behalf of the Government of Saskatchewan; providing strategic direction in communications throughout government; administering policies on communications procurement, visual identity and online development; and the operation of government’s web, mobile and social presence.
The Opportunity
The Office of the Deputy Minister to the Premier within Executive Council has an exciting permanent full-time opportunity available for a highly-motivated, proactive and well-organized Executive Administrative Assistant. The Deputy Minister to the Premier is the head of the public service, providing executive leadership to government; facilitating coordination between government ministries, agencies, and Crown corporations; and managing Executive Council. Working within a team of senior executives, this position plays a key role in delivering administrative and office management support in a professional, complex and fast-paced environment with frequently changing demands and priorities.
As the Executive Administrative Assistant, you will:
- Provide support to staff in the Deputy Minister to the Premier’s Office;
- Liaise with Deputy Minister, President and CEO offices, and the Lieutenant Governor’s Office to ensure a consistent flow of information and follow-up on issues;
- Maintain calendars for executive staff, including scheduling appointments, prioritizing items for action and organizing travel arrangements;
- Establish administrative processes and procedures including incoming and outgoing correspondence, filing systems, bring forward systems and records management systems;
- Support the planning and organizing of meetings and other events such as the Deputy Minister to the Premier Awards, Deputy Minister planning sessions, farewell and retirement events, and all staff meetings;
- Independently provide timely and effective responses to inquiries and requests from the Premier, Cabinet, senior executives and internal and external stakeholders;
- Research, retrieve and compile background and briefing materials as needed;
- Follow up on decisions and issues resulting from executive meetings;
- Order supplies, prepare and process expense claims, timecard administration, purchase card reconciliation and FOIP searches; and,
- Provide support to the Senior Executive Administrative Assistant and perform those duties in the absence of the Senior Executive Administrative Assistant.
Ideal Candidate
You will be:
- A strong communicator with superior interpersonal skills that will foster positive working relationships within Executive Council, Executive Government Ministries, Crowns, Boards and Agencies, the Elected and various stakeholders including the public;
- Able to anticipate and identify issues, make timely and accurate decisions, and provide options or recommendations to implement solutions as appropriate;
- Independent and confident in order to organize, prioritize and proficiently complete multiple tasks while dealing with frequent interruptions and tight deadlines;
- Thorough and attentive to detail to ensure quality work, yet adaptable and flexible in order to meet new challenges as they arise;
- Calm and professional while working under pressure; and,
- Tactful and discreet when working with confidential and sensitive information.
Typically, the knowledge and experience required to achieve the above is obtained through:
- A combination of formal education in business or office administration combined with significant work experience in an administrative position.
- Experience working at a senior level administrative position in the Government of Saskatchewan would be an asset.
