SAIT’s Applied Research and Innovation Services department helps partners conceptualize, prototype and deliver products to market. ARIS is on the leading edge of novel technology development. The Opportunity

An exciting opportunity exists to join the ARIS team in the role of Lab Operations Assistant in our Imperial Energy Innovation Centre Campus at Quarry Park. SAIT is seeking a professional, customer-focused individual to provide comprehensive administrative and operational support to facilitate the smooth and efficient functioning of applied research activities within the department and SAIT. The Lab Operations Assistant primarily supports the team with administrative tasks and operational support of the facilities, managing departmental records, coordinating meetings and events, and communicating with internal and external stakeholders. The Lab Operations Assistant also plays an important role helping to promote the work of ARIS and the industry we serve through communications with industry partners and students, connecting them with SAIT’s expertise and resources for applied research and project development.

The Role

    • Administrative and Operational Support
    • Act as a service-focused presence for clients, visitors, and staff; respond to general inquiries with professionalism
    • Facilitate communication and coordination between IEIC, main campus teams, industry partners, and students
    • Manage departmental correspondence including emails, memos, formal letters, and promotional materials
    • Arrange and book travel; reconcile monthly office expenses
    • Provide support for shipping and receiving lab samples and research deliverables
    • Coordinate onboarding for new faculty, staff, and students to ensure an informed and welcoming experience
    • Maintain accurate electronic and paper records to facilitate project tracking and compliance
    • Liaise with custodial and maintenance teams; proactively identify and resolve supply and safety needs
    • Procure office supplies and prepare information packages and folders
    • Develop and implement tools or processes that improve team productivity
    • Promote an office culture aligned with SAIT’s values: Fairness, Integrity, Respect, Safety, and Transparency
    • Maintain inventory of kitchen supplies
    • Ensure cleanliness and organization of the kitchen and lobby areas.
    • Heath, Safety and Environmental (HSE) support
    • Participate in HSE committee meetings by preparing agendas and recording minutes
    • Collect, file, and organize training attendance records and certificates
    • Maintain documentation related to HSE communications and compliance
    • Enter post-incident and inspection data into Action Logs
    • Support the execution of non-disclosure and confidentiality agreements
    • Conduct safety orientations for staff and visitors to ensure awareness of workplace protocols and emergency procedures.
    • Accurately maintain logs of incoming and outgoing personnel, including staff and visitor registrations, to support site security and compliance.
    • Meetings and Event Coordination
    • Organize meetings by developing agendas, capturing minutes, booking rooms, and coordinating catering
    • Support internal and external stakeholders during applied research proposal development and other collaborative efforts
    • Represent SAIT at on-site events and coordinate staffing needs for ARIS-related commitments
    • Monitor, organize, and contribute to promotional events and networking opportunities
    • Set up, operate, and troubleshoot audio-visual equipment to support smooth execution of meetings, presentations, and events.
    • Ensure all AV technology is functioning correctly and tailored to the specific needs of each gathering.
    • Communications, Documents and quality review
    • Develop, edit, and format a wide range of materials including guidelines, application forms, certificates, reports, and presentations
    • Conduct quality reviews to ensure consistent formatting, proofreading, and presentation of documents
    • Handle sensitive documents and proprietary information with discretion and compliance with confidentiality policies
    • Restrict access to confidential materials to authorized personnel only
    • Exercise sound judgment in interactions, especially with external clients and partners

Qualifications

    • Diploma in Business Administration or Office Management
    • 3-5 years in an office environment demonstrating organizational and administrative skills

Salary Range: $50,523.20 - $62,316.80
