MAKING AN IMPACT
Reporting to the Senior Manager, Payroll and System Integrations, the Payroll and Accounting Specialist will be working closely with payroll provider, ADP, to ensure the integrity, accuracy and timely processing of bi-weekly payroll for 700+ salaried and hourly employees across Canada.
This role will work closely with Human Resources to ensure compliance with legislation and internal policies while resolving payroll related inquiries.
WHAT YOU’LL BE DOING**:**
-Payroll and Time & Attendance
- Lead the timely processing of all new hires, transfers and terminations in ADP Workforce Now (WFN) system. This includes:
- Reviewing the accuracy of setup for new hires (salaried and hourly) including the setup of tax accounts, provincial worker’s compensation accounts, employer health, and other payroll deductions.
- Maintaining the accuracy of employee data in WFN that impacts finance or payroll, such as home cost number and general ledger integration (GLI)
- Reviewing payroll adjustments related to these employees to complete the bi-weekly payroll process.
- Support the Finance Coordinator in managing the Time & Attendance (T&A) module in WFN by reviewing the accuracy of the T&A module prior to payroll bi-weekly processing, including collaborating with HR and People leaders to setup pay classes and timecards.
- Partner with HR team to ensure accurate processing of payroll for staff transitioning to various leaves including short- and long-term disability, and parental leaves.
- Maintain knowledge of provincial employment regulations, especially for Quebec, and basic payroll standards across all provinces. Ensure compliance with federal and provincial legislation, while working together with the HR team.
- Monitor the payroll email inbox to assist French-speaking employees, people leaders, and retirees.
- Process payments and report payroll related service providers such as pension and benefit provider (i.e. CAAT) and manage all provincial workers compensation and health tax premiums.
- Act as a key contact for external service providers such as ADP and CAAT for communications and resolution of payroll issues.
- Reconcile Oracle Netsuite payroll accounts quarterly, including payroll clearing accounts, WCB, and group benefits clearing accounts.
- Partner with the HR team and ADP to resolve payroll-related tasks or issues promptly.
- Update and escalate any payroll or related issues to Senior Manager, Payroll and System Integrations to ensure timely resolution.
- Lead payroll year-end tasks with support from ADP to ensure timely completion, including all annual filings and compliance reports.
-Finance operation
- Contribute to process improvement initiatives and new system implementations as assigned.
- Support in other tasks and projects as assigned.

QUALIFICATIONS:
- Post-secondary education such as acquiring a college diploma, as well as specialized technical/professional training ; such as working towards payroll institute certification
- More than 3 years of experience in payroll processing, data entry and accounting or similar field
- Accounting/business and Payroll knowledge/experience is required
- Experience using ADP and/or NetSuite is considered an asset
- Excellent customer service and communication skills (verbal and written) required
- Strong knowledge and proficiency in Excel and complex payroll and accounting systems
- Enthusiastic, positive, solutions-focused with a ‘can do’ attitude, and ability to work both independently and as part of a team
- Strong ability to critically think and provide recommendations for complex situations
- Excellent attention to detail and strong organizational skills, with a high ability to prioritize and multitask to meet time sensitive and multiple deadlines
- Bilingualism (French/English) is required due to the organization’s nationwide operations and the need for effective communication across various regions.

MAKING AN IMPACT
