Duties and Responsibilities:
Reporting to the University Registrar (the senior staff member responsible for student records, course registration, and graduation requirements), this position provides key administrative support to Brandon University’s Senate (the group of faculty, staff, and student representatives responsible for determining the University’s academic policies, programs, and standards) and its subcommittees.
Specific Senate support tasks for which this position is responsible include the following: member onboarding, coordinating committee activities, managing membership elections, scheduling meetings, preparing materials, recording minutes, and maintaining Senate records.
The role also includes reviewing policies, by-laws, and records to ensure they meet required standards, responding to emails, updating the Senate website, conducting policy research, preparing reports, and organizing and maintaining digital files in accordance with sound document management principles. This position is part of a team that coordinates and implements annual graduation ceremonies. Other relevant duties as assigned.
Required Qualifications and Experience:
The successful candidate must have a minimum Grade 12 plus a one (1) year office administration certificate, or similar/related program, and three (3) years of administrative experience, or a comparable combination of education and experience is required.
Proficiency in Microsoft Outlook, Word, and Excel is required, and experience with video-conferencing and collaboration tools like Zoom and Teams is an asset. The candidate must demonstrate strong organizational and communication skills (both oral and written), attention to detail, and the ability to manage multiple tasks efficiently. Strong analytical skills, sound judgement, collaborative mindset, and initiative are essential in a deadline-driven environment.
