About the role

Our client, a boutique firm specializing in labour and employment law, labour relations, and occupational health and safety, is seeking an administrative assistant. The firm advises an employer-side clientele composed of private companies, public organizations, and stakeholders in the construction sector on strategic and often sensitive matters.

This opportunity is suited for an organized and versatile professional familiar with the legal field.

The Role As an Administrative Assistant, you will ensure the smooth day-to-day operations of the firm by directly supporting the lawyers and internal activities. You will contribute to administrative coordination of files, management of communications, and operational efficiency in a context where priorities may shift quickly.

The role offers a high level of autonomy, direct client interaction, and visibility across the firm’s activities.

Responsibilities

  • Manage professionals’ calendars, emails, and telephone communications
  • Coordinate appointments, meetings, hearings, and travel arrangements
  • Prepare, format, and revise various administrative and legal documents
  • Open, organize and maintain physical and electronic files
  • Assurer le suivi des échéanciers administratifs et procéduraux
  • Communicate with clients, courts, and government bodies
  • Prepare correspondence and official filings
  • Support preparation of files for hearings, arbitrations, or strategic meetings
  • Enter time records and assist with billing processes
  • Manage filing, archiving, and internal documentation
  • Provide general administrative support to the firm

Requirements

  • Training in secretarial studies, office administration, administration, or equivalent experience
  • Experience in a legal or professional services environment
  • Excellent command of French (spoken and written); functional English required
  • Strong organizational skills and ability to manage multiple priorities simultaneously
  • Discretion, rigor, and attention to detail
  • Ability to work in a fast-paced, dynamic environment
  • Autonomy, initiative, and service orientation
  • Excellent interpersonal skills and professionalism
  • Proficiency with Microsoft Office and comfort with technology tools
