About the role

RESPONSIBILITIES

The Lead is responsible for overseeing Support Associates & daily operations at

assigned building location(s).

SUMMARY

  • Complete Support Associate tasks daily + additional work as required (projects, audits, etc.)
  • Supervise team at designated location(s)
  • Coverage person for Support Associates Sick & Vacation
  • Complete Floor Inspections & Audits for location
  • Go to person in building for client communication, operational changes, updates, questions, rollout & implementation of new tasks
  • Must work designated schedule shift, flexibility is required for any changes that may occur in program to work outside standard shift within reason.
  • Must demonstrate the ability to apply common sense and understanding to a variety of situations. Must demonstrate a willingness and capacity to follow safe and healthful work practices. Observes safety and security procedures; reports all potentially unsafe conditions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Please note other duties may be assigned as required

  • PPE - Disinfecting Wipes, Hand Sanitizer, Masks, and Gloves
  • Sanitizer Stands / Wall Mounts – So Pure EnviroSource
  • Prepare and organize meeting rooms, White boards are clean, Reusable cloth erasers are sent for laundering, 4 Dry Erase Markers are available and working, Chairs tucked in and cables rolled up.
  • Escalate technology issues to CRE inbox
  • Phones, TV and AV equipment are functioning
  • Replace VGA/HDMI cables if required
  • Ensure printers are functioning
  • Replace toners and kits to ensure operation
  • Removal of paper jams and general troubleshooting
  • Monitor toner levels and leave a “Supplies Status Page” to inform clients
  • If cannot fix a printer, email the CRE inbox with details to schedule HP technician
  • Mail Services – Sort / file mail into cabinet or via Luxer Locker Parcel Port
  • Bring unidentifiable mail to the floor contact
  • Restocking stationery items and emailing the CRE inbox your stationary order request
  • Keeping counter areas tidy and organized. Keep any documents in the shredding bins
  • Ship toners for recycling with HP Planet Partners Program, Arrange for pickup with UPS, Assemble and place a new toner recycling box
  • Order & stock printing paper, Place paper in photocopier
  • Remove old signage from post board (date past event / notice)
  • FA Kit stock monthly, add items to par level, document items added to kit
  • Load/unload dishwashers, keep the clean mugs, plates and cutlery ready for clients use
  • Run cycle as per building checklist / open Work Orders if needed for repair or issue
  • Quarterly Audit of Mugs & Cutlery on floors
  • Daily Maintenance of coffee machines
  • Weekly Maintenance deep cleaning of coffee machines
  • Includes: Refilling beans, powders, and basic cleaning
  • Stock Tea, Sugar and Other coffee supplies
  • Ensure Milk and Cream is available in bins in fridge, Each milk and cream bin should have an expiry stick note, Once cream and milk are near expiry, toss product, replace with new inventory dated
  • Oversee coffee inventory & ordering
  • Place work orders to maintain oasis
  • Purell touchless hand soap refills and sponges
  • Tuck in chairs and organize tables in proper order.
  • Replace batteries in remote
  • Open Work Orders as required, building items only
  • Call in work orders if they are either Urgent or an Emergency.
  • Inventory, Ordering, Keys, & Storage
  • H&S Completion of all Compass Courses & Learning
  • Projects & Audits as required
  • Training & oversight of Team
  • Attendance / Spot Checks
  • Orientation Day 2: Training & Shadowing
  • Audit Compliance, all procedures in place
  • 1:1s to be conducted daily with team when required
  • Floor Inspection completion & 1:1 with associate
  • Assist with Performance Appraisals
  • Ensure team H&S & First Aid Kit stock completion
  • Ensure Wellness Inspection completion
  • Conduct FA Kit Inventory Audits
  • OneDrive documentation Management
  • Inventory Management & Ordering
  • CRE & Management Point of Contact
  • Floor Walks with Clients / Admins / Management
  • New Floor Opening Set-up / Follow Up
  • Floor Decommissioning
  • Training for new procedures & refresh on current
  • Conduct morning team huddles, organize team for the day with updates.
  • 1:1s with Associates as needed (floor inspection review, coaching, teaching)
  • Attends weekly operations meetings
  • Anticipates, identifies, communicates and seeks solutions for operational challenges
  • Ensures that the all client & company policies are followed at all times.
  • Completion of weekly schedules sent to team
  • Verify all team members are wearing proper uniform at all times, including name tag and non-slip shoes.

office environment, the noise level in the work environment is usually moderate. At times walking travel between buildings at nearby locations may be required.

LANGUAGE SKILLS

Ability to communicate effectively in the English language, including written

and spoken language. Ability to speak French and/or second language considered an asset.

EDUCATION and/or EXPERIENCE

Secondary School Diploma and minimum 3 years’ experience in a relevant

environment.
