Job description: Supporting the National Director, Marketing, the incumbent will be responsible for a full range of administrative support and the project coordination of several marketing initiatives.
Immediate report: This position reports to the National Director, Marketing
Key responsibilities:
- Assist in the development of marketing budgets and tracking expenses
- Process all invoices, arrange travel and all expense reports
- Develop presentations using PowerPoint or any supporting documents required
- Management and monitoring of the " Marketing info "inbox
- Collaborate in organizing marketing initiatives, updating biographies, and handling promotional merchandise management
- Manage all logo requests related to sponsorships and review all sponsorship material with SE logo to ensure compliance to the brand guide
- Maintain the Marketing organizational chart, policies, processes, and procedures documents up to date in support of Marketing, Communications & Digital team
- Coordinate photo sessions for eligible firm members and the respect of style guide
- Coordinate translation requests and ensure that content review, proofreading, and editing is carried out
- Upload and archive files related to arrivals and departures in different databases (Brandfolder, Sitecore, Thought Farmer and Outlook)
- Interact with key stakeholders on various projects and ensure the proper follow-ups on deliverables and reports
- Assist the Marketing team with tasks such as updating contacts, intranet (Stella) postings, sending out mass emails (including eMarketing and Newsletters), developing media pitch or emails and keeping track of media mentions, submitted deals, rankings, and awards
- Prepare onboarding schedules that cater to new hires joining the marketing team, verify that they are setup with the proper IT access and organize relevant processes and procedures specific to the department
- Manage the National Director's calendar and emails, which involves resolving scheduling conflicts, conducting research for meetings, creating necessary materials or briefing notes, coordinating activities and managing deliverables
- All other related tasks.
Education and experience requirements:
- Minimum of 5 years’ experience as an Administrative Assistant or Project Coordinator
- Experience in professional services, an asset.
Qualifications:
- Bilingual written and spoken (French and English) given the clientele, mandates, and international scope of the firm
- Strong proficiency in Outlook, Word, Excel and PowerPoint
- Sense of responsibility, self-reliance and priority management
- Strong planning and organization skills
- Initiative and willingness to learn new skills
- Proven ability to work in a fast-paced work environment
- Client-focused
- Must maintain a high level of confidentiality
- Understanding of HTML and CSS considered an asset
Salary Range (Toronto Only):
$50,000 - $60,000 annually.
