Position Overview
Focal Point is looking for a contract CRM Migration & Automation Specialist to support the transition from HubSpot to GoHighLevel / HighLevel. This role will begin as a 6-month contractor engagement, with the possibility of extension as we continue to evolve our CRM, automation, and systems infrastructure.
This role will help audit, document, rebuild, test, and improve CRM workflows, sales pipeline automations, integrations, forms, fields, triggers, and system connections across HubSpot, GoHighLevel, Zapier, Make.com, and monday.com. The ideal candidate should have a technical background or strong hands-on experience with systems, automations, integrations, software, or a related field.
This is not a general admin role or a simple Zapier build role. We need someone who understands CRM architecture, automation logic, workflow testing, data validation, integration troubleshooting, and how to translate business requirements into reliable system workflows.
The right contractor will be able to work between business stakeholders and technical teams, document how current systems work, identify gaps or risks, and help ensure the new GoHighLevel environment is organized, tested, and ready for launch.
Key Responsibilities
CRM Audit, Migration & Rebuild
Audit existing HubSpot workflows, forms, fields, pipelines, triggers, lists, tags, and automations. Document how the current HubSpot setup works before rebuilding or changing workflows. Support the migration and rebuild from HubSpot to GoHighLevel. Rebuild CRM workflows, pipeline automations, forms, fields, triggers, and system logic in GoHighLevel. Validate migrated data, fields, pipelines, workflows, automations, and user-facing CRM setup. Help ensure the new GoHighLevel environment is organized, accurate, tested, and ready for launch. Support post-launch checks after CRM migration, workflow updates, or automation changes.
Sales Pipeline Workflow Rebuild
Review sales pipeline automations to confirm leads, opportunities, follow-ups, reminders, notifications, and stage changes work correctly. Rebuild or update sales pipeline workflows in HubSpot and GoHighLevel as needed. Test stage movement, task creation, lead routing, field updates, reminders, and follow-up actions. Identify broken workflows, missing conditions, incorrect triggers, duplicate actions, and automation gaps. Troubleshoot workflow issues related to triggers, actions, conditions, pipeline movement, and data accuracy. Monitor sales pipeline automations after launch and help resolve issues when needed.
Integration Support
Support integrations across GoHighLevel, HubSpot, Zapier, Make.com, monday.com, APIs, and webhooks. Review how data moves between systems and identify sync issues, formatting problems, missing fields, or incorrect mappings. Help troubleshoot API-based workflows, webhook issues, data formatting errors, and system connection problems. Confirm that connected systems are sending, receiving, and updating the correct information. Support smaller integration-related tasks that do not require full developer involvement. Document integration logic, field mapping, data flow, and known risks before launch.
Testing, QA & Documentation
Test triggers, conditions, field updates, notifications, pipeline movement, data accuracy, and integrations before launch. Validate that workflows behave correctly across different scenarios, user actions, and pipeline stages. Test CRM changes before release to confirm they work as expected and do not break existing workflows. Document test results, issues found, fixes completed, edge cases, and remaining risks. Create and maintain workflow documentation, field maps, process maps, testing notes, and handoff documentation. Prepare clear documentation so implementation, operations, and technical teams can understand what was built, changed, tested, and approved.
Requirements & Implementation Readiness
Gather and document business requirements from stakeholders before workflows or system changes are built. Translate stakeholder requests into clear CRM, workflow, automation, and integration requirements. Identify missing information, dependencies, risks, edge cases, and process impacts before implementation begins. Organize project goals, scope, requirements, dependencies, and success criteria. Confirm requirements are clear enough for implementation, testing, and launch. Support alignment between stakeholders, operations, implementation, and technical teams.
Technical Logic Support
Understand enough technical logic to support APIs, webhooks, data formatting, workflow conditions, and system connections. Help troubleshoot issues that require understanding code logic, data flow, or system behavior. Support developers by handling smaller technical tasks related to automations, integrations, reports, scripts, or internal systems. Review technical requirements and help confirm they are clear before development begins. Escalate larger development work when it requires full developer involvement.
Required Qualifications
Experience working with GoHighLevel. Experience working with HubSpot. Experience supporting CRM migrations, especially from HubSpot to GoHighLevel. Experience with Zapier, Make.com, and Monday.com. Background in computer science, software engineering, information systems, or a similar technical field. Strong understanding of automation logic, CRM processes, sales pipeline automations, and business workflows. Understanding of programming concepts, development logic, APIs, webhooks, and data flow. Experience documenting workflows, requirements, and process steps. Experience testing workflows, automations, integrations, and CRM processes. Strong attention to detail. Good problem-solving skills. Ability to identify missing requirements, risks, and edge cases. Strong communication and coordination skills. Ability to work with both technical and non-technical teams. Ability to manage multiple tasks and deadlines.
Preferred Qualifications
Experience with CRM implementation projects. Experience with data migration and data validation. Experience reviewing or optimizing sales pipeline automations. Experience with API integrations and webhooks. Experience with project management tools. Experience with process mapping and workflow documentation. Basic programming or scripting knowledge, such as JavaScript, Python, or similar. Experience supporting software or automation projects through implementation. Experience working in remote or distributed teams.

Workflow documentation is accurate, complete, and easy to follow. Teams trust that automations and CRM updates have been properly reviewed before release. End users can use the systems with fewer issues and less confusion.
