About the role
As an Executive Assistant, your mission is to support the company’s senior management, particularly with matters related to bookings and travel arrangements. You play a key role in optimizing travel processes and managing expense reports.
More specifically, you will:
- Provide administrative support to the CFO and Davie Group’s finance team members, including scheduling and document preparation.
- Manage the CFO’s calendar, including reviewing, prioritizing, and responding to emails, scheduling meetings, flagging urgent items, as well as ensuring timely follow-up on key communications and actions.
- Manage day-to-day office operations and ensure a well-organized, clean, and safe working environment.
- Organize travel and accommodation for finance team members.
- Handle meeting logistics, room reservations, minutes, and schedule monitoring.
- Serve as the main point of contact for office vendors, building management, and service providers.
- Maintain office supply inventory and place orders as needed.
- Coordinate office events and visitor logistics.
- Assist with onboarding new employees, including workstation setup and access credentials.
- Oversee incoming and outgoing mail and courier services.
- Support basic accounting or finance-related tasks, such as expense reports.
- Ensure compliance with company policies and procedures.
Qualifications
- Minimum of five years of experience as an executive assistant or similar administrative role.
- Strong organizational skills and multitasking abilities.
- Excellent communication skills in English and French, both written and spoken.
- Proficiency with Microsoft Office Suite and collaboration tools (e.g., Microsoft Teams).
- Positive attitude, proactive, resourceful, and detail oriented.
- Experience working in a fast-paced professional environment.
- Customer-focused mindset with a strong emphasis on service excellence.
