About the role
Permanent Position - Hybrid
Reporting jointly to the legal professionals in the share and the Manager, Legal Assistant Services in our Toronto office, the successful candidate will independently manage the daily activities of up to 4 lawyers in their litigation practices.
Hours of work are from 9:00 a.m. to 5:00 p.m. ET. Occasional pre-authorized overtime may be required to meet client needs. This is a hybrid role requiring three (3) days in office.
Primary Responsibilities
- Prepare and file legal documents, schedule meetings and court dates, and keep track of deadlines.
- Manage litigation files across multiple courts, including Federal Court, Federal Court of Appeal, Ontario Superior Court of Justice, and the Court of Appeal.
- Draft and prepare pleadings, motion records, affidavits, books of authorities, correspondence, and reports.
- Manage emails, calendars and reminders using a bring-forward system.
- Coordinate deadlines, court filings, service, discoveries, mediations, and hearings.
- Provide full administrative support including file management, billing, matter openings, docket management, and tracking client reporting requirements.
- Liaise with clients, courts, experts, and opposing counsel.
- Adapt support style to lawyers with different working preferences, including those who rely heavily on assistant support for drafting and administration.
- Stay up to date with relevant court rules, procedures, and practice directions.
- Work with other departments to delegate tasks and ensure smooth operations.
- Provide coverage for other assistants when needed.
- Take on other duties as assigned.
Required Knowledge and Experience
- Completion of a post-secondary Legal Assistant or Law Clerk program.
- Minimum 5 years' experience as a Litigation Legal Assistant or Law Clerk (experience across multiple practice areas in a large firm is preferred).
- Strong knowledge of civil procedure and court rules, including Federal Court and Ontario courts.
- Exceptional drafting, proofreading, and organizational skills.
- Proficiency with document management, e-filing systems, and billing software.
- Ability to manage competing priorities, high volumes of documents, and strict deadlines.
- Strong judgment, professionalism, and client service focus.
- Technical proficiency in MS Office 365, Excel, Adobe Pro, iManage, etc.
- Experience working with Elite 3E, ACL, Case Center, JSO portal, Federal Court portals.
Pay Range
$55,000 to $75,000 per annum. Pay range to be commensurate with experience.
