Are you highly organized, proactive, and passionate about supporting students in a dynamic clinical environment? We are seeking a Clinic Coordinator to play a key role in ensuring the smooth and efficient operation of our student massage clinic. This position is ideal for someone who thrives in a fast paced setting, enjoys working with people, and excels at keeping complex schedules and administrative processes running seamlessly.
Key Responsibilities
Clinic Operations & Scheduling
- Create and maintain a live schedule for student therapists and clinic sessions.
- Track student attendance and ensure accurate, up-to-date records.
- Develop and maintain calendars to track student cohorts in clinic.
- Create and manage sign-up processes for clinic appointments through Moodle.
- Maintain accurate and current client records using Rosy booking software.
- Assist reception with client inquiries and appointment scheduling.
Student Support & Administration
- Support students with administrative needs, including accessing support services such as SALT Modifications, modified duties, and accelerated clinic schedules.
- Create individualized flexible schedules for students with work, childcare, or other scheduling complexities.
- Develop and update clinic policies, procedures, and orientation materials.
- Prepare clinic orientation folders and maintain organized documentation for each incoming student cohort.
- Attend new cohort classes prior to clinic start to guide students through the Moodle sign-up process and answer questions.
Communication & Coordination
- Maintain clear communication channels between students, instructors, and clinic staff.
- Send weekly update emails summarizing intercampus clinic meeting discussions.
- Schedule, organize, and support clinic team meetings.
- Provide general administrative support to the Clinic Manager.
Spa Day & Special Event Coordination
- Create Moodle sign-ups and send communications to students for spa day events.
- Visit classrooms (when needed) to assist with spa day sign-ups.
- Prepare supplies for spa techniques (towels, foot scrub kits, pre-measured materials, etc.).
- Plan, order, pick up, and manage food for students and clients on spa days, ensuring safe handling.
- Collaborate with the Clinic Supervisor to develop spa day schedules.
- Create live schedules that rotate students and track requested spa techniques.
- Maintain clinic cupboards with necessary supplies: pens, feedback forms, business cards, SOAP notes.
- Submit monthly supply orders to reception by required deadlines.
- Create and maintain student tracking binders for each new cohort.
- Update PowerPoints, handouts, and sign-up sheets for incoming cohorts.
