Opportunity
MacEwan University is seeking a Project Coordinator, Continuing Care for a 30-month full-time non-recurring term opportunity with the School of Continuing Education.
The Project Coordinator, Continuing Care is responsible for coordinating the planning, organization, and delivery of projects that advance the School of Continuing Education (SCE)’s strategic goals. Under the direction of the Associate Dean, you will translate established project goals and priorities into actionable project plans and ensures activities remain aligned with defined outcomes. Additionally, you will manage project plans, schedules, budgets, and documentation, facilitate communication among internal and external stakeholders, and supports quality assurance, reporting, and evaluation. By applying project management best practices, you will help ensure that projects are delivered on time, within scope and budget, and in alignment with institutional policies and stakeholder requirements.
Key responsibilities include:
- Working with the Associate Dean to understand established project goals, deliverables, and deadlines, translating them into detailed project plans, charters, scope statements, schedules, and risk registers;
- Coordinating orientations with Faculty, Subject Matter Experts (SMEs), and Instructional Designers to clarify requirements and confirm timelines;
- Building and maintaining strong working relationships with internal stakeholders and project partners (e.g., Faculty, SMEs, Instructional Designers, Educational Developers, etc.) to ensure collaboration and alignment;
- Coordinating the people, materials, and services required to achieve project outcomes and program development goals;
- Tracking and reporting on budgeted spending, grants, and/or inventory to support accountability and transparency;
- Coordinating procurement of external services, consultants, SMEs, and other project resources in accordance with university processes; where applicable, ensuring alignment and compliance with funding agreements and guidelines;
- Monitoring progress against milestones and deadlines, escalating issues to the Associate Dean when deliverables are at risk;
- Preparing and maintaining accurate project documentation, including contracts, agreements, meeting minutes, records, and progress updates; and
- Leading project closeout activities, including preparing final reports and lessons learned, and transition of the developed program into ongoing operations.
SKILLS
You will have:
- Strong project coordination skills with a solid understanding of project management principles, methods, and techniques;
- The ability to define and refine project requirements throughout the project lifecycle, ensuring clarity and alignment with outcomes;
- Demonstrated ability to problem-solve, assess situations, think critically, and apply sound judgment in making timely and informed recommendations;
- Strong analytical and decision-making skills with keen attention to detail and accuracy;
- The ability to develop trust by displaying honesty, integrity, and ethical conduct at all times;
- Knowledge of change management and process improvement techniques;
- The ability to identify, assess, and mitigate risks related to project scope, timelines, funding requirements, and deliverables;
- Excellent verbal and written communication skills, with the ability to articulate complex information, prepare reports, and tailor messaging to diverse audiences (e.g., faculty, leadership, funders, community partners);
- Self-motivation with the ability to work independently as well as collaboratively within a team;
- Strong interpersonal, collaboration, and conflict resolution skills that enable positive and productive stakeholder relationships;
- Excellent organizational and time management skills with the ability to adapt to shifting priorities, manage multiple deadlines, and maintain focus under pressure;
- Proficiency in Microsoft Office Suite and collaboration platforms; and
- Familiarity with project management software (e.g., MS Project) would be considered an asset.
QUALIFICATIONS
- A minimum of a bachelor’s degree in a relevant field.
- A minimum of 3 years of project coordination experience, preferably in a post-secondary or public sector environment.
- Demonstrated experience coordinating projects with multiple stakeholders.
- Experience with budget tracking and reconciliation.
- Experience with grant-funded projects, compliance reporting, or government funding agreements is considered an asset.
- Experience supporting program or curriculum development projects is considered an asset.
- An equivalent combination of education and experience may be considered.
