Position Overview
The Scenic Operations Assistant provides administrative and coordination support to the Scenic Operations team, with a primary focus on workforce scheduling, labor coordination, and show closeout. This role supports production leadership by helping ensure accuracy, organization, and follow-through across multiple concurrent events. This position reports to the Operations Manager of Scenic Services.
Key Job Responsibilities
Scheduling & Labor Coordination
- Execute workforce scheduling updates and maintain accurate records.
- Track labor bookings, confirmations, and changes.
- Prepare simple reports related to labor availability and workload.
Show Closeout & Documentation
- Support show closeout by ensuring schedules and documentation are completed.
- Maintain installer-facing systems and internal trackers.
- Draft internal communications and basic process documentation as needed.
Administrative Support
- Assist with basic PO and purchasing administration as directed.
- Collaborate with production leadership to support operational continuity.
- Other duties assigned.
Job Qualifications
- High School Diploma or GED required.
- 1-2 years of experience in an administrative role.
- Strong computer and systems proficiency.
- High level of organization and attention to detail.
- Ability to manage multiple tasks and events simultaneously.
- Clear communication skills (written and verbal).
- Comfortable working in structured processes and following direction.
- Willingness to learn and take direction.
- Experience in operations, coordination, scheduling, or administrative support is an asset.

Hourly Pay Range: $24 - $28
