Senior Information Management & Information Technology (IM/IT) Officer

The Canadian Association of University Teachers (CAUT) is seeking to fill the regular, full-time position of Senior Information Management & Information Technology (IM/IT) Officer.

CAUT is a progressive labour and professional organization representing more than 72,000 faculty, librarians, researchers, academics, and general staff at 124 universities and colleges. It promotes the economic and political interests of its members, advances the standards of the profession, and seeks to improve the quality and accessibility of post-secondary education in Canada.

Reporting to the Director of Finance, HR, and Operations, this position is responsible for supporting the strategic vision and goals of the organization by leading the planning, governance, and delivery of CAUT’s information management (IM) and information technology (IT) strategy. The role has three primary pillars:

  • Strategic planning and governance: working with stakeholders and leadership to facilitate IM/IT vision, maintaining a strategic backlog, identifying and facilitating IM/IT initiatives, supporting the IM/IT governance committee, and contributing to CAUT policies.

  • Project and partner management: planning and executing IM/IT projects, overseeing service providers (including managed service provider, web application management, cybersecurity, and SaaS platforms), coordinating contractors for application development (including Power Platform and Power BI) projects, and managing contracts/SLAs.

  • Operations and staff management: supervising IM/IT staff, ensuring delivery of line-of-business systems (such as membership services platforms), end-user support, and application development processes.

Duties and Responsibilities

  • Strategic Planning & Governance
  • In consultation with the Director of Finance, HR, and Operations and an IM/IT governance committee (if applicable), develops, maintains, and evaluates CAUT’s IM and IT strategy and technological infrastructure.
  • Maintains a strategic IM/IT backlog using strategic planning best practices.
  • In consultation with leadership and an /IT governance committee, develops and assists in enforcing IM/IT policies, ensuring compliance with privacy and cybersecurity best practices and Canadian law.
  • Working with the IM/IT governance committee and leadership, planning, executing, and evaluating IM/IT programs and projects.
  • Systematically scans for technological risks, opportunities, and emerging platforms and approaches. Flags issues, vulnerabilities, and opportunities to an IM/IT governance committee for consideration.
  • Project and partner management
  • Manages IM/IT programs and projects, including in areas of membership data management, document management and collaboration, member services, and process automation.
  • Manages service provider and vendor relationships across functions, including IT managed services, cybersecurity, web services management, and SaaS platforms.
  • Facilitates the evaluation, selection, procurement, and implementation of IM and IT systems and technologies appropriate for both the internal and external needs of the organization.
  • Manages vendor/contractor work for applications development projects, including Power Apps, Power BI, and Power Automate.
  • Provides project management leadership using Agile Scrum techniques, and drawing on traditional project management methods such as PRINCE2 and PMBOK.
  • Evaluates partner and vendor performance and ensures SLA adherence.
  • Operations and staff management
  • Coordinates the delivery of IM/IT services for the organization, staff and members, ensuring that core services are available and working to create a positive experience for all stakeholders.
  • Manages the work of the IM/IT team comprised of IT Officer, IT Systems Technician, and any other assigned staff. Meets staff regularly to ensure alignment on goals, effective operations and project management, progress against priorities, and effective client communications.
  • Ensures staff follow project management, application development, business analysis, and user support best practices.
  • Provides staff coaching and development, including designing and overseeing training plans on an annual basis.
  • Oversees management of CAUT’s Microsoft 365 tenant, including SharePoint, Teams, and Azure hosting, as well as SaaS platforms (including HR and accounting). Oversees management of member services platforms, including Wicket member database.
  • Oversees information architecture for document management and collaboration, data design activities, archiving and records management, and cybersecurity practices.
  • Guides responsible adoption of enterprise AI technologies.
  • Manages integration of CAUT IM/IT platforms with both internal and external systems.
  • Coordinates IM/IT training to CAUT staff and stakeholders, including identifying needs and coordinating delivery.
  • Monitors systems usage and gathers data and feedback from end-users to continuously improve systems performance.
  • Stores electronic documents in accordance with the protocols of the document storage systems.
  • Provides IM/IT logistical support for organizational events, as necessary.
  • Participates in Finance, HR, and Operations team and IM/IT team activities including operational and budget planning, cross-functional initiatives, and regular team meetings to ensure alignment on goals, progress against priorities, and two-way communication.
  • Provide back-up support for the IM/IT team.
  • Other related duties assigned by CAUT leadership.

Hours & Location

  • Full-time position, 35 hours per week.
  • May be required to work overtime on occasion.
  • This position is not fully remote. The incumbent may be allowed to work a hybrid schedule in accordance with CAUT’s Working from Home Policy.

Qualifications

Education & Experience:

  • Completion of post-secondary degree; computer science, information, or related field preferred.
  • Certification(s) in project management (PMP, PRINCE2, and/or Agile Scrum) required.
  • Certifications in ITIL and/or Microsoft platforms is an asset.
  • At least 7 years of professional experience in a similar capacity including a minimum of 2 years of supervisory or management experience.
  • Significant experience providing IM/IT support and training to end-users.
  • Demonstrated Project Management experience.
  • Vendor and contract management experience.
  • Demonstrated project management experience; experience managing application development is an asset.
  • Experience managing Microsoft 365 services, including Microsoft SharePoint and Teams.
  • Experience installing, configuring, and/or managing Membership Database Management (MDM) or Customer Relationship Management (CRM) platforms, such as Wicket, Salesforce, Dynamics, for example, a strong asset.
  • Extensive experience providing advice and guidance to senior leadership.
  • Professional experience in an Association, unionized, and/or not-for-profit organization preferred.

Language Requirements:

  • Ability to work in both official languages at an advanced level is a strong asset; fluency in verbal and written English essential.

Knowledge, Skills, & Abilities:

  • Wide range of knowledge of IM and IT platforms, systems, methods, and standards.
  • Domain knowledge of the Microsoft 365 platform and services, specifically Microsoft SharePoint and Teams.
  • Proficiency with various desktop applications, including the Office 365 suite and Adobe Creative Cloud.
  • Knowledge of current trends and developments in information management technology.
  • Clear understanding of confidentiality and privacy legislation and issues, and thorough knowledge of how to apply cyber security.
  • Ability to exercise sound judgment and deal with high-level issues in a balanced and fair manner.
  • Ability to work independently in consultation with the Director while exhibiting a high degree of initiative and sound judgment.
  • Excellent communication skills with the ability to communicate clearly, verbally and in writing, to a range of audiences.
  • Excellent interpersonal skills and the ability to establish and maintain constructive and collaborative working relationships with others within and outside the organization, deal effectively with conflict, build credibility and trust and to support and promote partnerships and effective work teams.
  • Strong planning, time management, and project-management skills to effectively balance competing requirements and manage multiple priorities and deadlines with minimal supervision.

Compensation and Benefits:

This position has been classified as Category 5 in the Collective Agreement between CAUT and COPE Local 225. The current hire rate for this category as of July 1, 2025, is $157,503.00.

The position supports work-life balance through hybrid work and generous paid leave including five (5) weeks of vacation per year, sick and personal days, summer hours (Fridays off in July and ½ Fridays off in August), and winter holiday closure between December 22 and January 1 annually. In addition, the position is eligible for excellent benefits including extended health and dental benefits, disability and life insurance, employee and family assistance, a defined contribution pension plan with 11.5% employer contributions after six (6) months of employment, and various employer paid learning and development opportunities.
