People and Culture Coordinator
About the role
Job Description This position is a critical member of the People and Culture Team providing hands-on, front-line staff and manager first-point of contact support. Reporting directly to the Manager, Employee Experience, Systems and Support, the Coordinator People & Culture is responsible for providing administrative support to employment related events and key employee life-cycle processes with a high quality of service approach. In addition to day-to-day work, this role also contributes to the People and Culture team’s continuous improvement projects and initiatives while maintaining a focus on high quality relationships with the Kinark staff that we serve.
Hourly salary range: $30.77/hr CAD- $38.46/hr CAD. Key Responsibilities include: As required,
- Provide ‘tier 1’ P&C support as ‘first point of contact’ (including P&C’s service desk system)
- Administrative support of employment and pay-related events and key employee life cycle processes
- Recruitment and new hire orientation
- Adhere to and support Accreditation, Ministry and licensing audits requirements for employee files
- People and Culture continuous improvement initiatives and projects support while maintaining a focus on high quality relationships with the Kinark staff that we serve.
Areas of Direct Responsibilities include: Process Kinark employees’ HRIS system tasks including administering pay settings
- Maintain confidential employee files (both digital and paper) including processing any changes such as new hires, promotions, status changes, termination in Kinark’s HR information systems, ensuring completeness and integrity of all system data.
- Interpret and implement accurate timekeeping according to policy, troubleshoot discrepancies and ensure data accuracy for payroll processing
- Conduct all employee pay processing tasks by updating direct deposit information, Leaves of Absence (LOAs), employment termination, maintaining benefits, accruals and administering step (pay) increases.
- Administer employee benefit and pension plans and serve as the main contact for benefits inquiries
- Maintain accurate employee records and perform periodic audits to ensure data integrity
- Coordinate recruitment process from job posting to offer letter, excluding interviewing and candidate screening
- Facilitate corporate orientation session, liaise with hiring managers and new hires
- Consult with Business Partners to understand and implement collective agreement requirements as needed
Provide Employee and Management Support:
- Act as the first point of contact for employees, providing information with a service quality approach and responding to inquiries related to terms and conditions of employment including but not limited to Service Desk inquiries for assigned employee groups
- Apply a service quality approach to every interaction, including P&C Service Desk ticketing system
- Onboard new managers in PeopleSoft and UKG, and provide system support to existing managers, including via bi-weekly Supervisor sessions for timekeeping
- Troubleshoot basic system errors with Supervisors to support accurate timekeeping
- Respond to regular and adhoc reporting and data requests
Other Duties:
- Create and maintain employee’s files, including documentation tracking and filing
- Support Vacation Policy Compliance
- Participate in HR systems testing
- Collaborate and support People and Culture team on special projects and research initiatives as required
- Support and collaborate with People and Culture teammates as required to provide coverage while maintaining a service quality approach
Qualifications:
- Post-Secondary Education in Human Resources Management field an asset
- CHRP /CHRL Designation or working toward the designation an asset
Experience:
- Minimum of one (1) year experience in a People & Culture administrative role
Additional Skills and Qualifications:
- Proficiency with Microsoft Office (Word, Excel, and PowerPoint), most importantly with Excel and large lists of data
- Strong attention to detail with the ability to recognize errors or patterns in data and ability to check and review your work within large data sets of employee information
- Exceptional customer service approach and communication skills with a relationship focused attitude
- Critical thinking related to the impact within the employee experience
- Ability to work as a team player and independently
- Strong organization and time management skills, with a task-management mindset that is balanced with sustaining excellent relationships
- Experience using PeopleSoft, Kronos and/or Deltek is considered an asset
Working Conditions:
- Standard office environment
- Beingin the office for filing and organizing personnel files is an ongoing requirement
