The WindsorEssex Community Foundation is seeking a Program Coordinator to support the planning, execution, and evaluation of our community initiatives. This multifaceted role plays a vital part in supporting local programs, donor relationships, and outreach efforts that make Windsor and Essex County a more vibrant, inclusive, and connected place to live.

About the Role

Reporting to the Executive Director or designate, the Program Coordinator will:

Program & Grantmaking Support

  • Administer competitive grant programs: coordinate applications, promote opportunities, and support review committees.
  • Act as the main point of contact for applicants & program participants, offering guidance on timelines, criteria, and process.
  • Plan and deliver community engagement events such as grant celebrations and impact showcases.

Donor Stewardship

  • Execute stewardship strategies that support strong, long-term donor relationships.
  • Draft donor communications, reports, and acknowledgments.
  • Respond to donor inquiries and ensure a high standard of satisfaction and engagement.

Administration & Operations

  • Ensure smooth day-to-day office operations, including database management and supply coordination.
  • Support the Executive Director with meeting logistics, material preparation, and follow-up.
  • Support the financial operations of the Foundation through regular review of financial documents and budgets, tracking expenses, and assisting with audit preparation and reporting.
  • Assist with policy and procedure documentation and maintain operational efficiency.

Marketing & Communications

  • Implement communications across digital platforms: website, email newsletters, and social media.
  • Prepare outreach materials and help shape public messaging through media relations and promotional content.
  • Use tools like WordPress, Constant Contact, Canva, and Adobe to keep content fresh, engaging, and aligned with our brand.

Qualifications

Education & Experience:

  • Post-secondary education in nonprofit management, communications, administration, or related field.
  • Minimum 3 years experience in a program delivery or administrative role (nonprofit experience an asset), or;
  • Equivalent experience gained through meaningful volunteer work in philanthropy or community organizations.

Skills & Competencies:

  • Excellent organizational and time-management skills.
  • Strong interpersonal and communication skills (verbal and written).
  • Self-motivated, resourceful, and comfortable working both independently and as part of a team.
  • Detail-oriented with the ability to manage multiple projects simultaneously.
  • Strong computer skills: Microsoft Office, WordPress, Constant Contact, Canva, Adobe, and more.
  • Experience managing and interpreting budgets.
