As Procurement and Inventory Officer, you will collaborate closely with the MedStore’s administrative team to support purchasing, inventory, and procurement operations for the medical research community. This role serves as a first point of contact for customer inquiries while coordinating inventory control, routine purchases and invoice payment. Working closely with clients, vendors, and internal partners, the position ensures timely delivery of goods, resolves issues, and maintains compliance with University procurement and financial policies.

Your Responsibilities Will Include

  • Acting as a first point of contact for purchasing enquiries
  • Maintaining store inventory by monitoring obsolete or expired products
  • Liaising with clients and vendors, and verifying that University procurement and financial policies are followed
  • Verifying that supporting documentation is attached to financial records, ensure proper approvals are obtained prior to submitting for processing, and identifying and resolving individual financial discrepancies
  • Analyzing administrative inventory and procurement processes and recommending changes for improvement
  • Supporting the testing of new inventory software, coordinating tasks for initiatives and maintaining standard operating procedures (SOPs)

Essential Qualifications

  • An advanced College Diploma (3 years) or an acceptable combination of equivalent experience
  • Minimum of three years of recent and related experience coordinating a large academic stores unit, with a demonstrated understanding of the technical requirements of a store's operation including purchasing, inventory maintenance, shipping and receiving, distribution, bookkeeping and records management
  • Working knowledge of the University of Toronto financial rules, guidelines and processes, including its financial and procurement processes
  • Experience obtaining quotations and reviewing and processing purchase orders
  • Experience handling scientific/chemical lab supplies inventory, including managing inventory system
  • Experience coordinating the safe disposal of chemical and biological waste and expired chemical products
  • Experience working with a point of sale system
  • Experience providing excellent customer services to student, faculty, customer, and vendors
  • Experience responding to help desk enquiries in a timely and professional manner
  • Strong proficiency with Microsoft Office 365 suite applications (Excel, Word, PowerPoint, Outlook, One drive, Share point, etc.)
  • Excellent written and verbal communications skills, along with demonstrated customer service skills including diplomacy and tact
  • Good judgment and decision making skills and demonstrated ability to work in a varied and fast paced work environment
  • Demonstrated ability to apply safety guidelines to a variety of chemical safe handling and storage situations
  • Accuracy with figures and the ability to exercise sound
  • Must be able to lift up to 25 kg and use standard lifting equipment to lift heavier items
  • Must have the physical stamina to effectively carry out the duties associated with the position, as this position involves considerable lifting, walking, standing, climbing ladders, crouching, squatting and reaching
