The HR Coordinator is responsible for performing a variety of administrative, recruitment, and employee support tasks in support of the organization's HR department. This role requires an HR professional who thrives in a high-volume, fast-paced environment, is resourceful, learns quickly, and can effectively manage multiple priorities. What You'll Be Doing Own the recruitment process by sourcing candidates, posting job opportunities, reviewing applications, conducting phone screenings, maintaining candidate pipelines and talent pools, scheduling interviews, and updating systems and trackers. Support the onboarding process by preparing new hire packages, including welcome emails, IT setup requests, payroll documentation, welcome bags, name tags, onboarding materials, orientation checklists, and assist with related administrative tasks. Coordinate new hire tracking, ensuring all onboarding activities are completed accurately and on time. Prepare employment offers and maintain onboarding tracking records. Draft and prepare a variety of HR documents, including offer letters, wage increase letters, and other employment-related correspondence. Maintain HR email inboxes and respond to employee and manager inquiries in a timely and professional manner. Coordinate interview scheduling and provide administrative support throughout the recruitment process. Manage internal job postings and assist with recruitment-related administrative activities. Maintain accurate HR records through filing, archiving, and ensuring confidentiality of employee information. Coordinate employee programs, including the company shirt program, parking permit program, employee referral program, and welcome package inventory. Support HR reporting and prepare HR resources, communications, policies, and other documentation. Prepare and distribute the monthly email announcements communication. Respond to requests for HR information. Participate in special HR projects and provide general administrative support to the HR team as assigned. What You Have Strong proficiency with both Google Workspace and Microsoft Office Suite, including Google Sheets, Google Docs, Outlook, Teams, Word, and Excel. Exceptional attention to detail and the ability to handle confidential information with discretion. Experience working in a fast-paced, high-volume environment while maintaining accuracy. Strong organizational, time management, and prioritization skills with the ability to manage competing deadlines. Excellent written and verbal communication skills. Ability to work independently, take initiative, and follow tasks through to completion. Flexible, adaptable, and quick to learn new processes and systems. Strong customer service mindset with the ability to build positive relationships across all levels of the organization. Experience supporting recruitment, onboarding, HR administration, or employee lifecycle processes is considered an asset.
