Job Summary
The Coordinator, Talent Acquisition plays a key role in supporting the university’s strategic staffing needs by managing end-to-end recruitment and selection processes for a wide range of staff positions, with a particular focus on the Auxiliary Support Staff pool. This position is responsible for developing and executing targeted recruitment strategies, coordinating advertising and candidate sourcing, supporting selection committees, and ensuring compliance with the collective agreement, employment legislation, and institutional policy. The Coordinator serves as a trusted advisor to hiring managers and applicants, providing guidance throughout the recruitment life cycle and ensuring a professional, inclusive, and consistent candidate experience. The role also supports recruitment marketing efforts, manages job postings through the Applicant Tracking System, and assists in onboarding and orientation activities.
The Coordinator oversees key administrative and labour relations processes related to auxiliary employment, including tracking performance evaluations, supporting disciplinary procedures, and liaising with managers, supervisors and association representatives to address staffing concerns. The position is also responsible for coordinating full-time secondments and Association releases under the collective agreement, ensuring accurate monitoring of timelines, reimbursements, and compliance requirements. The Coordinator handles sensitive and confidential matters with professionalism, facilitates timely communication between HR and key stakeholders, and contributes to initiatives that support a great candidate and employee experience.
Qualifiications
- Bachelor’s degree in Human Resources Management, Business Administration, or a related field from a recognized, post-secondary institution.
- Completion of coursework in recruitment and selection, labour relations, and employment law is preferred.
- CPHR designation or eligibility is considered an asset.
- Minimum three (3) years of recent, relevant experience in recruitment, talent acquisition, or similar human resources administration.
- Demonstrated experience coordinating recruitment activities using an Applicant Tracking System (ATS), including job posting, candidate screening, and system troubleshooting.
- Strong understanding of employment legislation, collective agreements, and immigration related recruitment and selection, particularly.
- Experience working in a unionized environment with an understanding of collective agreement language and processes is preferred.
- Experience managing or supporting performance and labour relations processes, such as performance evaluations, disciplinary actions, or secondments, is an asset.
- Strong knowledge of recruitment best practices, and equity-focused hiring principles.
- High level of professionalism, judgment, and discretion in handling confidential and sensitive information.
- Proven ability to manage competing priorities, meet deadlines, and adapt to changing demands in a fast-paced environment.
- Excellent communication and interpersonal skills with the ability to provide advice and guidance to hiring managers, applicants, and union representatives.
- Demonstrated proficiency in MS Office applications (Word, Excel, Outlook), ATS platforms, HRIS systems, and internet-based recruitment tools.
- Demonstrated ability to write, edit, and proof job postings and other materials for publication across platforms.
- Strong organizational skills and attention to detail, particularly in document management and data accuracy.
- Experience using social media as a recruiting and promotional/ marketing tool to attract and engage talent.
- Proven ability to be manage changing priorities, be flexible, manage tight deadlines, stress, and the ability to multi-task.
- Attention to detail including proven ability to provide highly accurate data entry.
- Proven ability to communicate effectively and to provide service to employees and applicants in a professional, respectful, positive and courteous manner.
- Proven ability to handle confidential information and made sound decisions within the limits of established policies and procedures.
