Job Overview

The Administrative Assistant provides essential support to ensure smooth day-to-day operations. This role involves managing schedules, handling correspondence, organizing documents, and assisting with general office tasks. With administrative duties in the assigned Department and switchboard/reception. The team member will be responsible for inputting client inquiry information into the database. This individual undertakes any other duties as assigned by their direct supervisor.

Duties and Responsibilities

  • Handle incoming/outgoing and inter-office calls.
  • Reception - Receiving and directing visitors and clients in a professional and comforting manner.
  • Sorting and distributing mail
  • Taking messages for clients
  • Accept payments for services and wellness center service as well as generating invoices and being backup for wellness center appointment bookings
  • Generate and fax referral letters for new admission with referents
  • Notify clinical staff of group placement for daily admissions (via email)
  • Update MOH bed count onto MOH website
  • Schedule appointments bi-weekly and handle rescheduling missed appointments
  • Upload photos of new admissions onto server and print out photo form for nursing
  • Other duties as assigned

Qualifications:

  • High school diploma or equivalent
  • 1-2 years administrative experience
  • Superb written and verbal communication skills
  • Excellent computer skills
  • Ability to establish priorities and manage time effectively.
  • High degree of initiative and willingness to assist in any area required.
  • Ability to deal effectively and compassionately with people in many capacities.
  • Mental Health & Addiction experience
  • Ability to keep information confidential.
  • Must be able to understand and follow directions.
