Registrarial services strive to directly support students’ success in their university studies, campus life and subsequent life pursuits. The range of services provided by the units within the OREM appear at every point in the student life cycle, beginning with recruitment and admissions, all the way through to convocation. Members of the OREM team strive to be consistent in their interpretation, communication and application of regulations, policies and procedures while being both professional and respectful of the diversity and complexity of needs across the university campus. The OREM interacts with staff, students, faculty, university and external community members in order to assist in the delivery of core services that cross operational and departmental boundaries (e.g., registration, class and exam scheduling). It is important that students and our university colleagues are well-informed and well-supported by the OREM and the services offered.

Job Summary

Student Support Services (SSS) is a unit within the Office of the Registrar and Enrolment Management (OREM) which provides services to prospective, current, and former students, as well as to faculty and staff of the University. As part of the Division of Student Affairs, the unit is committed to being a partner in supporting student success and providing service excellence. SSS staff work as a team to ensure a high level of service within a busy environment with tight deadlines driven primarily by Calendar deadlines.

Reporting to the Coordinator, Bookings and Accommodated Assessments, the Accommodated Assessments Assistant is responsible for scheduling assessments for students with academic accommodations, including exams, tests, and quizzes, and supporting the day-to-day operations of the OREM Assessments Office. This position handles sensitive and confidential information regarding student accommodations and provides excellent service to faculty and students while ensuring accuracy and confidentiality.

Job Requirements

Education/Specialized Knowledge:

  • 3 years of experience in a post-secondary administrative environment, or an equivalent combination of education, training and experience
  • Experience in a disability, counselling, mental health, or human service office working with a young adult population

Related work experience should include:

  • Experience with computerized Student Information Systems and database programs
  • Experience creating procedural and/or training documentation
  • Experience with inputting and manipulating complex data and handling detailed information with accuracy
  • Training or experience working directly with individuals in distress, including those impacted by crisis, trauma or critical incidents, and diffusing difficult situations
  • Knowledge of Freedom of Information and Protection of Privacy (FOIPP) regulations
  • Strong working knowledge of Microsoft Word, Excel, Outlook, and SharePoint

Preference will be given to applicants with:

  • Experience using exam scheduling and/or other complex accommodation or database software.
  • Knowledge of University of Victoria campus and policies, procedures and Calendar regulations

  • Ability to communicate professionally and effectively (written, oral, electronic, phone). Demonstrate active listening skills, patience, judgement, and discretion when dealing with students, faculty, staff, parents, team members and the general public
  • Team focused and student-centered, with a genuine interest in providing an outstanding student experience
  • Strong interpersonal skills with the ability to work effectively within a team environment, as well as with the larger UVic community
  • Excellent analytical, problem solving, and organizational skills including attention to detail and accuracy, time management, and ability to multi-task.
  • Demonstrated ability to organize large volumes of work under tight deadlines and constant interruption
  • Ability to handle complex and sensitive interactions and maintain confidentiality.
  • Ability to move cartons of paper up to 20kg in weight
