Summary The responsibilities of this role will be to collect, record, and organize all non EDI transportation related invoices for tracking, processing and payment. They will also be responsible to liaison with planners to reconcile carrier EDI invoice discrepancies. They will also be required to develop and implement processes to improve and or convert non EDI vendor invoices to auto match and pay.
Specific Responsibilities
- Reports to the Transportation Operations Manager
- Audit and process both JDA and manual invoices for payment
- Reconciling vendor statements and manage all vendor payment inquiries
- Processing carrier fleet damage charges backs
- Log, manage and report all transportation invoices
- Maintain, update and action all aspects of the purchase order confirmation and invoice process for the Transportation department
- Ensure accurate coding of all invoices to the proper general ledger account
- Log, maintain, and enter department payroll weekly
- Provide assistance to Fleet Manager with coordinating PO log and invoice validation for fleet maintenance
- Serve as backup to operations; coordinate answering telephones and inquiries
- Maintain up to date fleet filling
- Effectively communicate with employees and vendors
- Monitor and track all transportation expenditures
- Receive, send incoming and outgoing mail and courier deliveries as needed
- Reporting on fleet PM and annual inspections
Qualifications
- Strong data entry skills
- Proficiency in Microsoft Office Suite; Intermediate Excel
- Excellent Oral and written communication and interpersonal skills
- 1-3 years experience with transportation and invoicing
- Ability to speak French an asset
- College or University degree in related field
